This paid position offers an exciting opportunity to contribute to organizational success while developing valuable skills in office management and executive support.Responsibilities<ul><li>Manage and maintain detailed calendars using Google Workspace, scheduling meetings, appointments, and events with precision.</li><li>Provide comprehensive administrative support including data entry, filing, proofreading, transcription, and document management</li><li>Coordinate internal and external meetings, including preparing agendas, booking venues or virtual platforms, and distributing materials.</li><li>Handle incoming calls with professional phone etiquette, screen inquiries, and direct communications efficiently across multi-line phone systems.</li><li>Assist with event planning for company and personal functions or client engagements, overseeing logistics from start to finish.</li><li>Support bookkeeping activities, including invoicing, expense tracking, and basic financial record keeping.</li><li>Facilitate project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks across departments.</li><li>Oversee office management duties such as supply procurement, filing systems, front desk responsibilities, and maintaining a welcoming environment.</li><li>Perform personal assistant duties as needed to support executive priorities and personal scheduling.</li></ul>Skills<ul><li>Proven experience in executive administrative support or office management roles with strong organizational skills.</li><li>Proficiency in Microsoft Office (Word, Excel PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.</li><li>Skilled in event planning, project coordination, data entry, bookkeeping (QuickBooks), and clerical tasks such as proofreading and transcription.</li><li>Excellent phone etiquette with experience managing multi-line phone systems and providing top-tier customer service.</li><li>Strong computer literacy with the ability to adapt quickly to new software tools like DocuSign and office management platforms.</li><li>Exceptional organizational skills with keen attention to detail; capable of managing multiple priorities simultaneously.</li><li>Experience in office experience roles such as front desk or receptionist is highly desirable.</li><li>Ability to handle sensitive information discreetly while maintaining professionalism at all times.
