<div></div><div><b>Description</b></div>
<div>Incumbent serves as Deputy/Judgments for the Vigo County Treasurer&rsquo;s Office, responsible for collecting, recording, and processing taxes and related payments and assisting the public.</div>
<div></div><div><b>Examples of Duties</b></div>
<ul><li>Collects property tax payments.
<ul><li>Verifies monies collected, issues receipt to taxpayer and posts payment details into property tax system.</li>
</ul></li><li>Balances cash drawer, turns in cash deposit to Finance Deputy and scans checks for remote deposit.</li>
<li>Maintains positive public relations for the Treasurer&rsquo;s office providing customer service by assisting with inquiries, complaints, explaining certain procedures, researching tax information, resolving discrepancies and providing necessary follow-up.</li>
<li>Processes payments for redeemed tax sale properties.</li>
<li>Completes change of address request forms.</li>
<li>Begins Demand Notice Processing after June 10th once 10% penalty has been applied.
<ul><li>Prepare demand notice extract. Thoroughly review list and correct/omit as needed before submitting final Demand Notice Listing to collection agency.</li>
<li>Certify unpaid Demand Notices as a Judgment to the Courts after 30 days of Demand Notice mailing.</li>
<li>Provides Clerk&rsquo;s office with the final Certified to Court report in order to receive a cause number from the Court.</li>
</ul></li><li>Balances monthly statement from collection agency and posts payments in the Judgments section of the Receipting application of the property tax system.</li>
<li>Maintains Judgment book with payment information.
<ul><li>Periodically update Court&rsquo;s report in the Clerk&rsquo;s office at the Courthouse.</li>
</ul></li><li>Maintains TRECS (Tax Refund Exchange and Compliance System).
<ul><li>Provides Association of Indiana Counties (AIC) with initial &ldquo;Set Off of Refunds&rdquo; report of properties with delinquent property taxes in January.</li>
<li>Prepares new reports to upload 2-3 times per week. Continues this process until AIC informs us to stop. (Usually through July &ndash; sometimes longer.)</li>
</ul></li><li>Processes liquor clearance.</li>
<li>Processes mobile home permits.</li>
<li>Responds to emails and answers telephone providing information and assistance, answering questions, taking messages or transferring caller to appropriate office or individual.</li>
<li>Assists colleagues as needed.</li>
<li>Performs other duties as assigned.</li>
</ul>
<div></div><div><b>Typical Qualifications</b></div>
<ul><li>High school diploma or GED. Associates degree preferred.</li>
<li>Ability to meet all Department hiring requirements, including passage of a drug test.</li>
<li>Knowledge of state laws pertaining to tax collections and policies, practices, and legal requirements of the Department, with ability to effectively respond to inquiries and apply appropriate procedures accordingly.</li>
<li>Knowledge/Experience with Microsoft Office &ndash; especially Excel.</li>
<li>Working knowledge of standard bookkeeping principles and practices, and ability to make arithmetic calculations, record transactions, and maintain complete records.</li>
<li>Banking experience helpful.</li>
<li>Working knowledge of standard office procedures and computer software used by the Department, with ability to apply such knowledge to a variety of interrelated processes, tasks and operations.</li>
<li>Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence and tax statements as required.</li>
<li>Knowledge of basic filing systems and ability to create and maintain accurate and complete Department files/records.</li>
<li>Ability to properly operate standard office equipment, including, but not limited to, computer, typewriter, calculator, telephone, copier, scanner, counterfeit machine, and fax machine.</li>
<li>Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.</li>
<li>Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.</li>
<li>Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.</li>
<li>Ability to understand, memorize, retain, and follow oral and written instructions and present finding in oral or written form.</li>
<li>Ability to analyze, evaluate, observe, diagnose, and investigate data.</li>
<li>Ability to work alone with minimum supervision and with others in a team environment.</li>
<li>Ability to work on several tasks at the same time and work rapidly for long periods, often under time pressure.</li>
<li>Ability to occasionally apply knowledge of people and/or locations.</li>
<li>Possession of a valid driver&rsquo;s license and a demonstrated safe driving record.</li>
</ul><div><b>Supplemental Information</b></div>
<ul><li>Incumbent performs regular, recurring duties according to state codes and Department policies and procedures with work priorities primarily determined by service needs of the public and seasonal deadlines. Assignments are guided by broad policies and/or general objectives, with incumbent referring to supervisor when interpretations of Department policies/procedures are thought necessary. Periodically, decisions are made in the absence of specific policies, and/or guidance from supervisor. Work errors are primarily detected or prevented through standard bookkeeping checks and/or notification from other departments or agencies. Undetected errors could result in loss of money and/or inconvenience to other agencies or the public, or personal liability for Treasurer.</li>
<li>Incumbent maintains frequent contact with co-workers, other County departments, financial institutions/personnel, and the public for purposes of exchanging information and resolving discrepancies.</li>
<li>Incumbent reports directly to Chief Deputy.</li>
<li>Incumbent performs duties in a standard office environment, involving sitting/walking at will, sitting for long periods, lifting/carrying objects weighing less than 25 pounds, keyboarding, speaking clearly, and hearing sounds/communication.</li></ul><br>
