Role summaryYou will work directly with the Founder across his multiple ventures to run the Founder&rsquo;s calendar, follow-ups, reporting rhythm, and day-to-day execution support. The goal is simple: protect the Founder&rsquo;s time, health routine, and decision bandwidth by making everything else run on rails.Outcomes (what success looks like)Within 30&ndash;60 days you will:<ul><li>Maintain a conflict-free calendar with clear priorities and buffers.</li><li>Ensure daily/weekly reports arrive on time from teams (without Founder chasing).</li><li>Run a follow-up and reminders system so nothing drops.</li><li>Keep the Founder on a stable routine: wake, workout, meals, hydration, sleep.</li><li>Reduce Founder&rsquo;s admin load by 60&ndash;80%.</li></ul>Key responsibilities A) Calendar mastery (Personal + Professional)<ul><li>Own the Founder&rsquo;s calendar end-to-end: meetings, travel blocks, focus blocks, buffers.</li><li>Schedule by priority rules (deep work vs calls vs travel).</li><li>Confirm meetings, send agendas, pre-reads, and follow-up actions.</li><li>Ensure daily schedule includes: workout, meals, hydration, recovery.</li></ul>B) Founder routine and health discipline (non-negotiable)<ul><li>Create and run a &ldquo;Founder Day Plan&rdquo; from wake-up to sleep.</li><li>Set meal times, snack windows, water reminders, and workout slot.</li><li>Track adherence daily (simple checklist), adjust weekly.</li></ul>C) Execution support + follow-ups<ul><li>Maintain a Master Action Tracker across all businesses.</li><li>Follow up with teams/vendors until closure.</li><li>Convert calls into tasks; owners + deadlines + status.</li></ul>D) Reporting &amp; dashboards (Founder-ready)<ul><li>Daily: top tasks, blockers, scheduled commitments.</li><li>Weekly: business pulse summary (construction / supply chain / cloud kitchen).</li><li>Ensure critical docs are ready: proposals, invoices, MOMs, approvals.</li></ul>E) Admin and logistics<ul><li>Travel planning, bookings, reimbursements support, document management.</li><li>File system hygiene: agreements, IDs, bank docs, project folders.</li></ul>Tools &amp; systems you&rsquo;ll run<ul><li>Google Calendar (primary)</li><li>WhatsApp + Email discipline (templates + follow-ups)</li><li>Google Drive folder structure</li><li>Google Sheets / Notion (task tracker + reporting)</li><li>Simple meeting notes + MOM format</li></ul>Working style / traits required<ul><li>Extremely organised, proactive, high follow-through.</li><li>Comfortable pushing back politely (&ldquo;This meeting conflicts with your health block&rdquo;).</li><li>Discreet with sensitive info.</li><li>Strong writing and crisp communication.</li></ul>Experience &amp; profile<ul><li>2&ndash;6 years as EA/PA to founder/CEO, or operations coordinator.</li><li>Strong calendar + stakeholder coordination background.</li><li>Bangalore-based preferred; flexible hours when needed.</li></ul>KPIs (measure performance)<ul><li>% days Founder routine executed (wake/workout/meals/sleep)</li><li>0 double-bookings / calendar conflicts</li><li>95% tasks closed by due date (or escalated early)</li><li>Reports received on time (daily/weekly cadence)</li><li>Founder admin time reduced week-on-week</li></ul>Compensation structure (suggested)<ul><li>Base + performance bonus (linked to KPIs)</li><li>Phone/internet reimbursement</li></ul>Must-have traits<ul><li>Calendar-first mindset: protects your health anchors (wake, workout, meals, sleep) as non-negotiables.</li></ul>Skill must-haves<ul><li>Google Calendar mastery + scheduling buffers</li><li>WhatsApp/Email follow-up discipline</li><li>Google Sheets tracker (actions + reporting)</li><li>Basic finance sense: bills, approvals, receipts, reimbursements logic</li><li>Travel/logistics + document retrieval</li></ul>Best background<ul><li>2&ndash;6 years as EA to Founder/CEO OR Ops coordinator in a fast-moving business (construction/real estate/logistics is a plus).</li></ul><ul><li>Follow-through beast: doesn&rsquo;t just remind&mdash;chases until the output is delivered.</li><li>Comfortable with seniors: can coordinate with partners, CAs, lawyers, vendors without hesitation.</li><li>Documentation hygiene: minutes, action trackers, simple reporting&mdash;clean and consistent.</li><li>Assertive but respectful: can tell you &ldquo;No, this conflicts with your workout/meal block&rdquo; and offer options.</li></ul>Job Types: Full-time, PermanentPay: ₹30,000.00 - ₹37,000.00 per monthBenefits:<ul><li>Cell phone reimbursement</li><li>Health insurance</li><li>Internet reimbursement</li><li>Provident Fund</li></ul>Work Location: In person
