Job Overview We are seeking a dynamic and energetic Front Desk Administrative Assistant to be the welcoming face of our organization. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be highly organized, tech-savvy, and possess excellent communication skills, including bilingual abilities. You will manage multi-line phone systems, handle clerical tasks, and support office management functions to create a positive and efficient environment for staff and visitors alike.Duties<ul><li>Greet visitors, clients, and vendors with professionalism and enthusiasm, creating a friendly first impression</li><li>Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette</li><li>Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and filed</li><li>Utilize Microsoft Office Suite and Google Workspace tools for correspondence, scheduling, and document preparation</li><li>Support office management tasks such as calendar management, appointment scheduling, and supply inventory oversight</li><li>Assist with bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices</li><li>Provide exceptional customer service by supporting client inquiries, managing appointments, and offering support as a personal assistant when needed</li></ul>Qualifications<ul><li>Proven office experience with strong clerical skills including data entry, filing, and proofreading</li><li>Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications</li><li>Experience with multi-line phone systems and excellent phone etiquette skills</li><li>Bilingual fluency (specify languages if applicable) is highly preferred to serve diverse clientele effectively</li><li>Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment</li><li>Knowledge of office management procedures including calendar management and time management techniques</li><li>Familiarity with QuickBooks or bookkeeping software is a plus</li><li>Previous experience as a receptionist in medical or dental offices is advantageous but not required</li><li>Demonstrated computer literacy with the ability to adapt quickly to new software tools</li><li>Excellent interpersonal skills with a friendly demeanor that fosters positive customer interactions</li></ul>Able to work hours: 9am - 6pm, M-FJoin our team as a Front Desk Administrative Assistant where your energy and organizational talents will help us deliver outstanding service every day!
