This position will be located on site at DHA HQ in Falls Church. Telework may be authorized situationally.
Key responsibilities include:<ul><li>
Serve as the principal advisor and technical consultant to a SES III, responsible for managing and deconflicting the operational schedules of the Executive Staff. Maintains authority over appointments, executive priorities, and commitments on behalf of the Executive Staff.</li><li>
Act as the Executive Staff&rsquo;s strategic liaison with internal departments and other stakeholders, ensuring seamless communication and alignment across organizations.</li><li>
Assist with packaging and reviewing memos in CATMS.</li><li>
Oversee day-to-day executive office operations and task management/correspondence on various program topics, ensuring priority actions and those of particular interest are properly executed throughout the organization.</li><li>
Principal point of contact for the office&rsquo;s executive functions. Front desk presence in the office to welcome and orient visitors of the Executive Staff.</li><li>
Ensure the Executive Staff is prepared for each meeting with necessary read-ahead materials and talking points. Prepare meeting spaces (physical and virtual) before Executives arrive for seamless operation. Capture post-meeting follow-ups to ensure operational continuity and impact.</li><li>
Act as the Executive Staff&rsquo;s strategic liaison with internal departments and other stakeholders, ensuring seamless communication and alignment across organizations.</li><li>
Leverage strong communication and liaison skills to establish a high level of trust with senior level management and government personnel.</li><li>
Use sound judgement to manage, advise on, and deconflict competing organizational priorities and engagements</li><li>
Anticipate operational needs, resolve issues independently, and implement efficiency solutions to support executive objectives and corporate outcomes.</li><li>
Handle all sensitive matters with discretion, maintaining strict confidentiality.</li></ul>
Requirements:

Education &amp; Experience: Bachelor's degree and 3-10 years of directly related experience required.
Skills &amp; Competencies:<ul><li>
Minimum 5+ years previous administrative or office management experience within the DoW, VA, or other Federal agency</li><li>
Strong organizational and time-management skills</li><li>
Ability to draft clear and concise written products with high attention to detail (e.g., progress reports, action memoranda, stakeholder emails)</li><li>
Excellent communication and interpersonal abilities</li><li>
Self-starter. Ability to organize, track, and coordinate multiple requirements simultaneously, reprioritizing based on understanding of client and stakeholder demands</li><li>
Expert proficiency in Microsoft Office software</li><li>
Ability to obtain a security clearance</li></ul>
Additional preferred qualifications:<ul><li>
Previous DoW administrative or office management experience</li><li>
Experience preparing DoW correspondence package components (e.g., memos, action memos)</li><li>
Understanding of the DoW systems: CATMS/TMT/eSSS (Task Management), DTS (Defense Travel System Coordination)</li><li>
Experience working in a military environment or with military personnel</li><li>
Experience working with high-ranking senior leaders, executives, and political appointees</li></ul>

Operations Coordinator and Senior Executive Service Assistant

Vistra seeks a Digital Marketing Specialist to assist our client with email, web, social marketing, and digital outreach efforts. The specialist will ensure alignment of all marketing content, including social media and digital and print outreach products, to the organization&rsquo;s marketing plan. The client is a professional military education institution offering degree and certificate programs to enlisted Sailors, Marines, and Coast Guardsmen.
This is a hybrid role, with most work done remotely. There will be a monthly on-site visit requirement at Quantico, VA, or Annapolis, MD.
Key Responsibilities include:<ul><li>
Develop and maintain the organization&rsquo;s Marketing Plan to include messaging to target audiences, tailoring messaging for various mediums (social media,</li><li>
Develop and maintain an electronic communications calendar, building a library of stock messages that can be distributed via social and digital platforms</li><li>
Develop and optimize marketing content and social media campaigns, within the limits of departmental and institutional policies, to enhance the user experience and improve efficiencies in student enrollment, retention, and community engagement</li><li>

Track and report all marketing analytics, including social media, email, targeted marketing campaigns</li><li>
Translate complex strategies, ideas, and strategic objectives into actionable digital marketing campaigns</li><li>
Create professional and engaging graphics to support digital marketing efforts</li><li>
Support web content management and updates, applying working knowledge of HTML and CSS to ensure functionality, accessibility, and accuracy, and to operationalize a structured content review cycle</li><li>
Use project management tools and documentation platforms to streamline marketing and web content workflows and coordinate team activities</li></ul>
Requirements:

Education: Bachelor&rsquo;s degree in Marketing, Public Relations, Communications, Computer Science, or a related field
Experience: 3 years of experience with communications, social media, and digital marketing
Skills and Competencies:<ul><li>
Proficiency in social media management platforms, including Meta for Business, Facebook, Instagram, X (Twitter), LinkedIn, and YouTube</li><li>
Proficiency in graphic design using the Adobe Creative Cloud or similar tools</li><li>
Experience with social media and email messaging development</li><li>
Experience with marketing automation utilizing Salesforce or another CRM platform</li><li>
Experience deploying communications campaigns via SMS</li><li>
