Job Summary/ Scope of Work:</b><br>

The Procurement &amp; Logistics Assistant provides administrative and logistical support to the procurement and logistics team. The role focuses on documentation, filing, follow-ups with suppliers, and supporting procurement and logistics processes to ensure smooth operations.<br>
<br>
<b>Responsibilities and Tasks</b></p><div><div><div><b><br>
Job Responsibility 1: Support Procurement Process</b></div><div> 40% of time</div></div><br>
<div><ul><li>
Support procurement planning, forecasting, and market analysis.</li><li>
Support the technical team to identify specifications and conduct supplier field visits.</li><li>
Assist in collecting quotations and required supplier documentation.</li><li>
Support RFQs and RFPs (including ToR, bid evaluations, contracts, and POs).</li><li>
Review quotations, prepare evaluations, and negotiate prices to ensure cost-effectiveness.</li><li>
Obtain approvals, prepare award/unsuccessful letters, and maintain procurement documentation.</li><li>
Monitor the status of pending orders and inform relevant teams of any delays.</li><li>
Maintain and regularly update supplier databases and preferred supplier lists.</li><li>
Provide PR follow-up and inform applicants of the processing progress of their orders.</li><li>
Conducting field visit to the suppliers.</li></ul></div></div><br>

Job Responsibility 2: Logistics</b></div><div> 30% of time</div></div><br>
<div><ul><li>
Follow up with suppliers to confirm deliveries and obtain original invoices, receipts, and other supporting documents.</li><li>
Review delivery notes and resolve delivery issues or difference.</li><li>
Support in managing WC premises, equipment, and running services (utilities, maintenance, usage monitoring).</li><li>
Conducting field visits to War Child Offices to follow up on office logistics needs.</li><li>
Monitor supplier performance and adherence to contracts and delivery timelines.</li></ul></div></div><br>

Job Responsibility 3: Procurement Data Management</b></div><div> 10% of time</div></div><br>
<div><ul><li>
Maintain organized records: contracts, POs, trackers, supplier databases, audit documentation.</li><li>
Update the procurement trackers and provide information to stakeholders.</li><li>
Support in preparing inventory reports (assets, lists, mapping).</li><li>
Ensure contract follow-up is up to date with suppliers and consultants.</li><li>
Support in VAT exemption requests, Ministry of Finance coordination, and compliance checks.</li></ul></div></div><br>

Job Responsibility 4: Administrative Support</b></div><div> 20% of time</div></div><br>
<div><ul><li>
Prepare supporting documents for financial payments in coordination with the Finance Team.</li><li>
Follow up with suppliers for original invoices, receipts, and supporting docs.</li><li>
Follow up with WC Staff on Procurement and Logistics tasks.</li><li>
Provide administrative support (filing, photocopying, scanning, archiving).</li><li>
Assist in annual audits of procurement and logistics files.</li><li>
Perform any additional duties assigned by the Procurement and Logistics Senior Officer.</li></ul></div></div><br>

<b>Qualifications / Education / Training</b><br>

Bachelor&rsquo;s degree in Business Administration, Logistics, or a related field.</div></div><br>
<br>
<b>Experience &amp; Skills</b><br>
Minimum of 1 year of previous professional experience in a similar position along with the required skills.<br>
<br>
<b>Required</b><br>
<div><ul><li>
Minimum 1 year of relevant experience in finance, logistics, or procurement within NGOs, preferably with an INGOs.</li><li>
Demonstrated knowledge of logistics and procurement is an added value.</li><li>
Strong computer skills, Microsoft office, especially Excel and Word.</li><li>
Valid driving license and willingness to travel.</li><li>
Flexibility and hands-on mentality.</li><li>
Knowledge of local market conditions.</li><li>
Strong social and communication skills.</li><li>
Advanced reporting and writing skills.</li><li>
Excellent management skills, teamwork, and flexibility.</li><li>
Advanced oral and written skills in English and Arabic. Hebrew is an advantage.</li></ul></div><br>
