Location: Monterey, CAAbout Us: Wellspring Psychological Services is a growing, mission-driven group practice dedicated to providing high-quality mental health care while supporting sustainable, meaningful careers for clinicians.We are expanding our services, programs, and locations, and are seeking a highly organized and proactive Project &amp; Executive Coordinator to support leadership, coordinate initiatives, and help ensure our practice continues to grow in a thoughtful and well-structured way.This role offers strong growth potential for someone interested in operations, project coordination, and leadership support within a healthcare setting.Position Overview: The Project &amp; Executive Coordinator plays a key role in helping leadership turn ideas into action. This position supports the CEO and Administrative Director by organizing projects, coordinating communication, managing marketing efforts, and tracking key operational and financial data.This role is well-suited for a highly organized professional who is comfortable supporting leadership, coordinating multiple initiatives, and improving operational systems.Key Responsibilities:Executive &amp; Leadership Support:<ul><li>Prepare meeting agendas and materials</li><li>Take detailed meeting notes</li><li>Track action items and ensure follow-through</li><li>Assist with leadership scheduling and coordination</li></ul>Project Coordination:<ul><li>Track timelines and progress of key initiatives</li><li>Follow up with team members to ensure task completion</li><li>Maintain project tracking systems (e.g., Google Sheets)</li></ul>Marketing &amp; Communications:<ul><li>Coordinate newsletters using Constant Contact</li><li>Design flyers using Canva</li><li>Support social media posting</li><li>Event &amp; Workshop Coordination:</li><li>Coordinate logistics for workshops and events</li><li>Manage event registration tools (e.g., Eventbrite)</li></ul>Financial &amp; Data Coordination:<ul><li>Maintain monthly spreadsheets and tracking tools</li><li>Assist with compiling reports for CFO</li></ul>Systems &amp; Workflow Support:<ul><li>Maintain organized documents and trackers</li><li>Support development of workflows and processes</li></ul>Qualifications:Required:<ul><li>Demonstrated excellence with managing projects, systems, or workflows</li><li>Expert Google Workspace proficiency</li><li>Excellent organization and communication skills</li><li>Reliable and consistent work habits</li><li>Experience with Constant Contact and other marketing platforms</li><li>Demonstrated awareness of ethics and professionalism</li></ul>Preferred:<ul><li>Experience using Canva</li><li>Experience with social media creation</li><li>Experience supporting leadership teams</li></ul>Growth Opportunities:This role offers the opportunity to grow with a developing organization, with potential to expand into operations or leadership support roles.To Apply: Please submit both a resume and cover letter.In your cover letter, please answer the following:Describe a system, process, or workflow that you created or improved in a previous role.
