This paid position offers an exciting opportunity to lead office functions, enhance customer support, and contribute to a positive company culture.Responsibilities<ul><li>Greet visitors and clients warmly, providing excellent customer service and ensuring a professional first impression</li><li>Manage multi-line phone systems, direct calls appropriately, and handle inquiries with professionalism and courtesy</li><li>Oversee front desk operations, including scheduling appointments, maintaining visitor logs, and managing mail distribution</li><li>Maintain accurate records through data entry, filing systems, and document proofreading to ensure organizational efficiency</li><li>Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily administrative tasks</li><li>Support bookkeeping activities by tracking expenses, processing invoices, and managing petty cash as needed</li><li>Coordinate calendar management for executives and team members, scheduling meetings and preparing necessary materials</li></ul>Requirements<ul><li>Proven experience in office management or administrative roles with strong clerical skills</li><li>Proficiency in Office Ally, Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and basic computer literacy</li><li>Excellent phone etiquette with experience handling multi-line phone systems and customer support interactions</li><li>Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment</li><li>Experience with data entry, filing systems, proofreading documents, and maintaining accurate records</li><li>Knowledge of office equipment such as printers, scanners, and fax machines; familiarity with bookkeeping or QuickBooks is a plus</li><li>Personal assistant or medical receptionist experience is advantageous for understanding specialized workflows</li><li>Ability to manage time effectively while handling multiple responsibilities with professionalism and attention to detail</li></ul>Join us as an Office Manager to lead our administrative team with energy and enthusiasm!
