Job Summary:</b></div><div><br>
The Port Operations Administrator plays a key role in processing port-related invoices and costs, and analyzing port operations costs for Windstar Cruises&rsquo; global fleet. This position involves maintaining various data systems that support the Marine Operations team, with a focus on accuracy and attention to detail. The role requires both independent and team-based work, and the administrator will report directly to the Director of Port Operations. Additionally, this position will be involved in reviewing operational processes and proposing changes to improve efficiencies and optimize port operations.</div><div><b><br>
Port &amp; Crew Invoices Management:</b></div><ul><li>
Process, record, and ensure accurate coding of port and crew invoices.</li><li>
Track advanced payments and update monthly schedules.</li><li>
Analyze port costs against historical data, budget estimates, and previous invoices, identifying any discrepancies or trends.</li><li>
Address and investigate unusual cost overages and cost trends for specific ports.</li><li>
Support monthly budget forecasting related to port operations.</li></ul><div><b>
Data Management &amp; Analysis:</b></div><ul><li>
Perform data analysis on port operations activities, including missed port calls, late departures/early arrivals, and invoice processing timelines.</li><li>
Provide analytical support for cost trending and port-specific activities.</li></ul><div><b>
Review &amp; Process Improvement:</b></div><ul><li>
Continuously review and evaluate port operations and invoicing processes to identify opportunities for increased efficiency and cost savings.</li><li>
Propose process improvements, collaborate with relevant stakeholders, and implement changes to streamline workflows and reduce operational bottlenecks.</li></ul><br>

Background in financials/accounting.</li><li>
Strong communication skills, both written and verbal.</li><li>
Ability to work in a fast-paced, dynamic environment.</li><li>
Proven ability to manage multiple priorities efficiently.</li><li>

 Operations Agent is responsible for effective coordination of all booking aspects after creation. This can include manifesting, reservation accounting processes, irregular operations tasks, and other operational tasks as seen below.

  Responsibilities
  <br/>
  <br/>
 </strong>
 <ul>
  <li>
   Operational Tasks: Execute assigned tasks related to voyage processing, ensuring timely completion; handling Outbound and Inbound calls, chats, and emails; and SmartSheet interactions to effectively align bookings with voyages.
  </li>
  <li>
   Irregular Operations: Act as contact agent for TA/Guests to coordinate irregular operations.
  </li>
  <li>
   Manifesting: Assist with basic manifesting functions as assigned by the Documents &amp; Manifests lead.
  </li>
  <li>
   Reservations Accounting: Assist with basic accounting functions as assigned by the Res Accounting lead. This will include contacting TA/Guests for open and past due balances.
  </li>
  <li>
   Guest Support: Assist with overflow service calls during peak times in the Call Center as required.
  </li>
  <li>
   Booking Processes: Coordinate all aspects of bookings, from creation to completion, ensuring accuracy and efficient operations to meet company KPIs.
  </li>
  <li>
   Team Leadership: Coach and mentor Ops team members to improve performance and assist with onboarding new Ops team members.
  </li>

   Other Duties as assigned by management.

   Familiarity with or willingness to adopt AI-powered platforms (e.g., Copilot, automated workflows, data analysis tools) is a plus.

   Cruise or tour operations / reservations experience preferred.
  </li>
  <li>
   Preferred experience managing processes with timelines.
  </li>
  <li>
   Proficiency with Reservations and Operations systems (Seaware Core preferred)

  <li>
   This position is expected to adjust work hours in cases of irregular operations, which likely will also require extended hours.
