The Office Assistant/ Office Administrator plays an important role in ensuring that office operations are consistent and uninterrupted by overseeing in-office needs such as mail processing, file production, and supply management. Working alongside the Administrative Legal Assistant, the Office Assistant/ Office Administrator is responsible for printing and filing cases as prepared by legal team members, sorting and distributing mail received each day, and assisting with any other in-person requests as applicable.

This is a full-time, non-exempt position that requires in-office presence at the Boston office each workday. 
Responsibilities:
<ul>
<li>Manage mail processing and file production processes:
<ul><li>Assemble, file, and ship cases sent by remote staff according to established protocols</li>
<li>Receive, organize, and digitally/physically distribute all incoming mail</li>
</ul></li><li>Assist in resolving vendor/office maintenance issues</li>
<li>Act as main point of contact for in-office needs for remote staff, including but not limited to:
<ul><li>Planning periodic in-office events</li>
<li>Arranging courier deliveries</li>
<li>Fielding and responding to or redirecting questions regarding the physical office as appropriate</li>
</ul></li><li>Provide onboarding and offboarding support for in-office employees:
<ul><li>Provide tech equipment on day 1 in office, collect equipment in the office on employee&rsquo;s last day</li>
<li>Complete Form I-9 for in-office new hires under direction of HR department</li>
<li>Follow asset management protocols, including coordinating with IT and Operations departments</li>
</ul></li><li>Other administrative duties as needed</li></ul> 


Requirements:
<ul>
<li>Bachelor's degree required; major in business, accounting, or a related field preferred</li>
<li>2+ years of experience in an administrative or operations-focused role required</li>
<li>Experience in business immigration preferred</li>
<li>Ability to thrive in an entrepreneurial, start-up environment as a positive, proactive problem solver</li>
<li>Strong ability to adapt to new technologies and platforms</li>
<li>Excellent organization and time management skills</li>
<li>Superb attention to detail</li>
<li>Ability to work with multiple stakeholders to meet strict and competing deadlines</li>
<li>Demonstrated ability to prioritize multiple projects</li>
<li>Clear and effective communication skills, especially in a professional email setting</li></ul>
