</h2>Summary:
 
This position provides administrative support, enabling the Young Life field ministry area office to function an organized and efficient manner. 
 
 
 
Essential Duties:
 
Written and Verbal Communication

Answer correspondence, do filing and prepare mailings.

Answer phones.

Respond to voicemail, e-mail and phone calls in a timely and professional manner.

Gather articles, pictures, layout, production, mail, etc. for newsletter from area staff.

Create club/event postcards, flyers, and/or maps. 
<ul><li>
</li></ul> 
Send prayer e-mails and monthly updates.

Send personal support mailings. 
<ul><li>

Create and maintain area M-Site.

Send thank-you letters to donors.

Interact with area office assistant, area directors, area committee, volunteer team leaders and leaders with area.

Administration

Process and track donations.

Maintain donor and leader databases, ensuring that leader forms, driver questionnaires and criminal background checks are up-to-date.

Manage monthly expenses and budgets, including area bank account records, FDT, area and staff expense reports.

<ul><li>Accounting: pay bills, submit bank account records/purchase card expenses and donations and make copies, evaluate financial monthly status and update FDT each month.

5.Maintain contact databases including the following:
 
Update area donor database on a regular basis.

Enter club card data into kid database. 
<ul><li>
</li></ul> 
Update parent database. 
<ul><li>
</li></ul> 
Maintain newsletter recipient list. 
<ul><li>

Create and maintain banquet invitation list.

Update contact in Palm/Outlook.

<ul><li>Update e-mail distribution lists: club kids, campaigners, committee, leaders and prayer partners.

6.Human Resource for Regional Administrators
 
Track and report vacation, sick and personal days for eligible area staff.

Submit timesheets for hourly staff.

Complete Personnel Action Requests and required documents to hire or terminate area staff and forward to region for approval.

C.Event Administration
 
1.Coordinate area meetings, including:

Track participation, payments, health forms and how much each kid has earned in fundraisers.

Responsible for fundraiser marketing.

Construct and distribute camp brochures.

3.Banquet/Golf Marathon/Auction
 
Create invitations, banquet sponsor packet, table host packet, banquet program and donor cards.

Coordinate with table hosts about their invitation lists.

All camps share a common purpose: creating an environment where Young Life staff bring Christ to life by creatively presenting the complete gospel of Jesus Christ. Speaking clearly from the Scriptures, camp speakers introduce kids to the person of Christ, the nature of humanity, the work of Christ on the cross, the hope of the resurrection and the opportunity for reconciliation with God.

Essential Duties:
 
 
Operation and Maintenance Responsibilities
<ul><li>Coordinate and execute landscape maintenance on a daily basis to keep the property in top condition; utilize time and resources effectively without interfering with normally scheduled camp operations.
</li></ul><ul><li>Develop and execute a preventative maintenance program for the landscape on the property in coordination with the Site and Facilities superintendent.
</li><li>Assist in the development and construction of the property. The range of projects will be from creating small planting beds to landscaping around entire buildings.
</li><li>Be able to respond to urgent and unscheduled needs of guests and operational emergencies.
</li><li>Maintain all aspects of the irrigation system and install new irrigation areas as needed.
</li><li>Maintain the turf, fields, shrubbery, flowers and all other landscape on the property.
</li><li>Maintain shop areas in a well-organized manner with regular cleaning schedules; repair and maintain tools and equipment in good working order; keep a good supply of materials on hand for routine maintenance of landscape.
</li><li>Work toward the specific implementation of individual property goals as outlined yearly.
</li><li>Maintain a list of maintenance projects and capital projects to be undertaken as time and money become available; communicate the needs reflected in these lists to the Site and Facilities superintendent for budgeting and scheduling. Execute or assist with these projects as directed.
</li><li>Cooperate with other property staff and subcontractors in these processes as that is very important.
</li><li>Work closely with the Site and Facilities superintendent to ensure that tasks are being performed up to standards, in proper priority, in a timely manner and in harmony with the rest of the camp operations.
</li><li>Perform other duties assigned by the Site and Facilities superintendent.
</li><li>People Management
 
Operate and maintain the property in a manner consistent with the instructions received from the Site and Facilities superintendent and the property manager.
</li><li>Offer leadership and direction to those workers assigned to you.
</li><li>Supervise such staff as the Site and Facilities superintendent may assign to you, both summer and winter staff. This includes full and/or part-time property staff, in addition to summer maintenance staff, work crew, volunteers and other people who may be assisting with a maintenance or project function of the property.
</li><li>At all times maintain a pleasant and positive attitude toward staff and others involved in the program, conveying the idea of maximum service consistent with the capabilities of the property and equipment.
</li><li>Work closely with the work crew and summer staff boss(es) in making the work experience a positive time of personal growth for the individuals who have volunteered their time.
</li><li>Reports, Record Keeping and Maintaining a Budget
</li><li>Prepare and submit reports as the Site and Facilities superintendent requests.
</li><li>Maintain operating records as required by the Site and Facilities superintendent. These include, but are not limited to:
</li><li>Landscape training and audit checklist.
</li><li>Grass cutting log.
</li><li>Preventative maintenance records for the grounds.
</li><li>Safety equipment records.
</li><li>Maintenance records for landscape and irrigation system, etc.
</li><li>Initiate purchase orders and track invoices related to personal tasks.
</li><li>Comply with the requirements of budgets supplied by the Site and Facilities superintendent.
</li><li>Assist in preparation of capital and operating budgets as requested by the Site and Facilities superintendent.
</li><li>Relationships
</li><li>Realize that being on property staff involves a balanced mix of relational and business ministry and that people and tasks are both important.
</li><li>Maintain relationships (property staff, field staff, volunteers and community) at the highest level of integrity.
</li><li>Relate to the local community in a manner best suited to carry out the public relations policy of Young Life, as presented by the property manager.
</li><li>Work closely with the Site and Facilities superintendent, Guest Services coordinator and assigned staff on all matters involving use of the property for the program.
</li><li>Cooperate with all other departments on the property to operate as a team by being open and supportive of each other to produce a well functioning body.
</li><li>Maintain an open posture when dealing with problems, conflict and staff relations.
</li><li>Effectively give and receive instructive criticism.
</li></ul>Working Conditions:
<ul><li>This position requires that the staff person be able to: lift at least fifty (50) pounds of materials waist high, operate mowers, tillers and other equipment necessary for landscaping and lawn care, stand on his or her feet for at least eight hours a day, bend, twist, carry and do other physical activities necessary to perform this job.
</li><li>The majority of the job will take place out of doors, and the staff person will be exposed to heat, cold and various climate conditions as well as dirt and chemicals used in landscaping.
</li></ul>Education:
<ul><li>Bachelor&rsquo;s degree in horticulture.
</li><li>Working knowledge of landscape design and care.
</li><li>Ability to learn and adapt to new situations and technologies.
</li></ul>Experience Required For The Job:
<ul><li>Proven ability to work with guests in ways that enhance the guest&rsquo;s experience at the property.
</li><li>Proven ability in organizing and supervising people and tasks.
</li><li>Proven hands-on experience with a minimum of four years in the area of landscape development and maintenance, to include irrigation.
</li><li>Must have a personality that is conducive to good relations: outgoing, positive, flexible.
</li></ul>Note: Young Life is a relational ministry. Staff must be able to convey a sense of Christ-like hospitality and concern for guests and staff. Responding to the unexpected needs of a guest in a prompt and professional manner is important. All staff members are expected to represent Young Life positively and professionally within the community and be able to work with and minister to the volunteer high school- and college-age young people who attend our camp. 
 
Job Specific Working Conditions:
Washington Family Ranch is a remote property (located one hour from the closest grocery store) with a large dedicated staff that results in approximately 120 people living year round at camp. This creates a unique and spiritually rewarding environment of Christian work and fellowship. There are two camps located here: a high school focused camp (Canyon) and a middle school camp (Creekside). Affordable housing is available on property.
