The Office Administrator provides organizational support for multiple levels of staff throughout the Firm. They facilitate communication internally and externally with clients and vendors. Primary tasks: welcoming guests, maintaining office supplies, and coordination of incoming and outgoing mail. The Office Administrator will coordinate and execute office events.

Roles &amp; Responsibilities

Technical Expertise &amp; Quality
<ul>
<li>Adhere to and preserve confidentiality standards both internally and externally.</li>
<li>Open and close the front lobby (locking doors, closing blinds, turning off lights).</li>
<li>Maintain appearance and supplies for front lobby and all conference rooms.</li>
<li>Use technology to perform duties such as typing letters, memos or correspondence, and Internet research.</li>
<li>Performs administrative duties including copies, faxes, Letter, and document scanning.</li>
<li>Serves as the central communication point for staff, delivering essential updates related to Operations, Administration, and Facilities.</li>
<li>Fold/stuff invoices and statements for mailing.</li>
<li>Processes daily bank deposit.</li>
<li>Update Intranet with weather-related closures.</li>
<li>Maintain the break room/kitchen area, including loading and emptying the dishwasher as needed and stocking kitchen supplies.</li>
<li>Order snacks/beverages/cleaning and office supplies as needed.
</li><li>Track expenses for monthly reconciliation/budget recording.</li>
<li>Setup of new clients.</li>
<li>Logging in/out of client documents for pick-up.</li>
<li>Prepare FedEx/UPS shipments, certified mail, and track deliveries.</li>
<li>Open or distribute incoming mail to appropriate parties.</li>
<li>Processing Certified Mail receipts.</li>
<li>Other duties as assigned, which may include cross-training and backup to various CSC tasks, as well as assistance with scanning and paper assembly of tax filings.</li>

Education, Experience, &amp; Other Requirements
<ul>
<li>Minimum of a High School Diploma.</li>
<li>4 years related experience or equivalent combination of education and experience.</li>
<li>Proficient in the use of MS Office applications.</li>
<li>Possesses a prominent level of integrity and ability to respect confidentiality.</li>
<li>Excellent verbal and written communication skills.</li>
<li>Ability to handle multiple tasks simultaneously.</li>
<li>Good knowledge of firm policies and procedures.</li>
<li>Enthusiastic and self-motivated.</li>
