Position Description
One (1) Permanent Civil Service ( PCS ), full-time (40 hours), full year (260 days) position.
Under the direction of the Dean of the Mission Center, the 1406 Senior Clerk provides advanced clerical and administrative support to the Admissions and Enrollment Office, ensuring the efficient and accurate processing of student admissions, registration, and record maintenance for both credit and noncredit students. The Senior Clerk serves as a key point of contact for students, staff, and faculty, offering bilingual (English/Spanish) assistance and information regarding programs, services, and campus resources. The position requires independent judgment, strong organizational skills, and the ability to work effectively in a fast-paced, student-centered environment.
Notes :
This position will require to work some evenings and weekends when necessary.
Special Condition: Spanish language Proficiency required.
Job Duties
Please note the duties specified below are representative of the range of duties assigned to the 1406 Senior Clerk job class code and not intended to be an inclusive list.
1. Assists in a variety of projects and activities (e.g. on-line orientations for new students, intake activities for new student orientations, budget expenditures tracking, assessments of student learning outcomes, equipment check-out, etc.) for the purpose of providing necessary and appropriate support for students, faculty, and staff. 2. Attends department and/or in-service meetings for the purpose of conveying and gathering information required to perform functions. 3. Interacts with students, college personnel, and the public (e.g. walk-ins, telephone, e-mails, etc.) for the purpose of providing optimal customer service and accurate information as needed. 4. Maintains and retrieves records using Banner computer system for the purpose of ensuring accuracy of student, faculty, and program data for reporting purposes. 5. Manages counselors’ electronic appointment system (e.g. creating master template, booking student appointments, marking attendance, printing out tales and statistical reports, preparing work assignment forms, etc.) for the purpose of ensuring efficiency and providing information. 6. Monitors and tracks a variety of processes (e.g. development of spreadsheet schedules for counselors and instructors; database processes; purchase orders; student applications for admissions, etc.) for the purpose of implementing necessary processes for optimal daily operations. 7. Performs a wide variety of clerical duties (e.g. duplicating and faxing documents, Microsoft and Excel document preparation, etc.) for the purpose of carrying out and existing department methods and procedures for office operations. 8. Prepares reports for a wide variety of personnel and CCSF departments (e.g. maintenance, facilities operations, finance, purchasing, accounting, plus work order requests, etc.) for the purpose of providing information for student procedures and activities. 9. Produces and submits requisitions for materials, supplies and equipment (e.g. supplies, furniture, other office items, etc.) for the purpose of ensuring availability of materials and tracking inventory of items. 10. Provides assistance and information to new and continuing students (e.g. counseling services, orientation, placement, assessment, education planning, etc.) for the purpose of ensuring appropriate services and accurate information sharing with students.
11. Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Minimum Qualifications
Applicants must be current Permanent Civil Service/Full Time/Full Year employees in Class 1406 Senior Clerk with City College of San Francisco qualifies to be considered as an internal transfer candidate.
Special Condition: Spanish language Proficiency required.
Desirable Qualifications
Proficiency in using computers and knowledge of computer applications such as Microsoft Word, Excel, and Access.
Knowledge of office methods and procedures.
Excellent computer skills.
Ability to communicate clearly in English and Spanish.
Ability to assist in translating information between English and Spanish
Benefits
Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full-year (260 days/year) work schedules are granted, as paid days off, the days between Christmas Day and New Year’s Day, as well as an additional five (5) paid days off during spring break. Eligible school-term-only ( STO ) employees who are not scheduled to work the designated days between Christmas and New Year’s Day shall be granted three (3) paid days off to be scheduled by mutual agreement between the employee and supervisor. Eliglble school-term-only ( STO ) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.
New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund ( RHCTF ).
