2026-2027 Dual Credit Aide (200 Days)

Primary Purpose:

Assist College and Career Counselor in the administration of the dual credit and post-secondary programs. Perform routine clerical or administrative duties under direct supervision and help in other duties as assigned.

Qualifications:

Education/Certification:

High School Diploma or GED

Associates or Bachelor's Degree preferred

Special Knowledge/Skills:

Strong keyboarding and file maintenance skills working knowledge of Microsoft Office products

Use of a variety of communication platforms for mobile devices College and Financial Aid Application process

Proficient written and verbal communication skills successful project management and organizational skills ability to meet deadlines

Strong interest in student success

Experience:

Two or more years of experience working with K-12 or higher education or two years clerical experience preferred

Major Responsibilities and Duties:

College and Career Facilitator (CCF)

  • To provide student support and help for courses taught at local post-secondary/higher education campuses, on-site (high school) or online. This includes assisting students in establishing an effective communication with the instructor and helping students to become engaged in their post-secondary courses starting the first day of class and throughout the semester. The CCF also serves as a guide in building the necessary behaviors exhibited by successful post-secondary students in compliance with each intuitions "Student Code of Conduct".
  • Provide effective and timely communication with students verbally, written, or through electronic communication as it relates to their enrollment in the post-secondary/ higher education.
  • Review syllabus for course(s) and encourage students to refer to it when questions arise about attendance, code of conduct, grades, calendar, assignments, etc.
  • Assist students completing on-line courses with test/exam administration as needed and indicated by each instructor.
  • Notification of any concerns regarding student behaviors, performance or attendance to College and Career Counselor. Any concern requiring post-secondary instructor notification will be made by College and Career Counselor, unless otherwise instructed.
  • Manage student behavior and refer to high school administration if disciplinary action is needed
  • Aid students in establishing relationships with instructors, and guide when there are questions or concerns regarding the course or grades.
  • Verify and compile list of textbooks and/or supplies required for each course. Purchase, distribute, and track textbooks paid for and issued by Calallen ISD.
  • Assist students with initial log-in to post-secondary/higher education communication/electronic course platform.
  • Assist students with technology issues and refer to support as necessary.
  • Inform students of the procedures for resolving issues, grades, and other matters related to course(s).
  • Support students by: providing necessary reminders, developing time management skills, identifying sources for tutoring and support services offered, and coordination of transportation to and from course(s) conducted off-site.
  • Assist College and Career Counselor in reviewing and resolving scheduling conflicts that arise with post-secondary finals, state assessment, and AP testing.
  • Verify and record attendance daily as per high school policy. Notifying College and Career Counselor when a student is in violation of post-secondary program attendance policy.
Manage students when class is not in session.

TRANSPORTATION

  • Insure students are aware of transportation schedules and arrival time.
  • Communicating with Transportation Department if there is a schedule change or additional bus needed.
  • Coordination of transportation if a student misses return bus.
Assist with the development of the post-secondary transportation schedule.

COLLEGE AND CAREER CENTER

  • Assist students in completing college applications (ApplyTexas, CommonApp), financial aid or grants/scholarships, and registering for college assessments.
  • Assist College and Career Counselor with post-secondary course registration paperwork, documents, etc. and provide all necessary documents to appropriate institution.
  • Maintain all student post-secondary files, including all related documents for each student enrolled in these programs.
  • Coordinate enrollment and track TSI testing: registration, verification and payment and deliver to Testing Coordinator.
  • Register students for ASVAB.
  • Coordinate and prepare announcements for college visits on-site and off-campus.
  • Send electronic communication to students and parents regarding scholarships, testing, or other matters related to the College and Career Center through the school districts communication outlets (CHS announcements, blackboard, and Remind).
  • Answer questions or concerns, in person, via email or on the phone, presented by staff, students or parents related to the program.
Design and develop annual end of the year pamphlets and certificates.

Mental Demands/Physical Demands/Environmental Factors:

Tools/Equipment Used: Standard office equipment, including computer and peripherals; standard library equipment

(imaging equipment, standard instruction equipment)

Posture: Regular sitting, standing, kneeling, squatting, bending/stooping, pushing/pulling, and twisting

Motion: Repetitive hand motions; frequent keyboarding and use of a mouse, regular overhead reaching, climbing ladders.

Lifting: Frequent light lifting and carrying (under 15 pounds); occasional moderate lifting and carrying (15-44 pounds)

Environment : Work inside; work alone; exposure to biological and chemical hazards such as mold and dust.

Mental Demands: Work with frequent interruption; maintain control under stress
