Salary: $33,694 - $43,963 Annually

Salary Schedule: Classified Annually

Level/Salary Range: Steps 1 – 10

Position Summary
To provide meaningful and measurable support to Pacific Charter Institute, and its schools, while performing complex and highly specialized administrative support duties. Will support the Director or Site/Program Leader and/or the Site Manager with clerical and administrative details; plan, organize, and coordinate office activities, administrative details, and communications. This role will support and assist with analysis to summarize, reach conclusions, and make appropriate recommendations for departmental operations.

Education and Experience

  • Combination equivalent to Associate Arts Degree from an accredited college and four years of administrative experience (school experience is preferred).
  • Training or coursework in basic accounting, bookkeeping, business office organization and planning preferred.

Knowledge/Skills/Abilities
- Knowledge of Microsoft Office and other programs and a proven track record to learn new software programs

- Knowledge of modern office methods and equipment, computers and application software

- Knowledge of accurate record keeping techniques

- Knowledge of correct English usage, grammar, spelling, punctuation, and vocabulary

- Knowledge of telephone techniques

- Knowledge of inventory control processes and procedures

- Knowledge of manual and computer assisted accounting and fiscal record management systems

- Able to work successfully with teachers, students, and parents

- Able to analyze and create procedures to optimize office operations

- Able to plan, schedule and perform a wide variety of administrative functions, duties and activities

- Able to prepare and process confidential materials

- Able to assemble data and prepare clear and concise reports

- Able to maintain complex and varied files and records

- Able to establish and maintain cooperative and effective working relationships with others- ability to work in a dynamic, fast paced environment

Essential Job Functions (Duties and Responsibilities)
- Organizes and implements support of administrative functions to the assigned site/program

- Provides support to the assigned site/program with needed supplies, services, and equipment in coordination with business and operations

- May research and assist with compilation of budget data, coordinate the collection and preparation of departmental budget expenditures; maintain budget and financial records of a variety of programs; monitor account balances and record expenditures.

- Coordinate communications between Director/Principal/Site/Program Leader/Site Manager, corporate office, parents, students, other outside organizations, and the public

- Answer phones and accurately take messages and deliver to intended party

- Check and distribute incoming mail

- Takes notes and meetings minutes when needed

- Respond to requests for information from staff and the general public regarding programs, policies, procedures, and regulations, or refer them to the appropriate department

- Interpret, provide, and clarify specialized information regarding operating policies, procedures, and Regulations; obtain and provide information, coordinate activities, and resolve problems; inform the Director/Principal/Site/Program Leader of situations requiring additional attention

- Assist or generates as directed site/program compliance paperwork; including filing duties as needed

- Assist or generates information gathering and data collection to complete a variety of requests or reports or special projects

- Assist or establishes and maintains departmental files as directed

- Train and provide work direction as needed to staff, monitor workflow, and assure compliance with established timelines, procedures, and standards of quality

- Prepare correspondence, letters, and memorandum, including materials of a confidential nature, independently or from oral instructions Assist to assemble and organize materials for distribution such as, but not limited to, registration packets, schedules, correspondence, and newsletters

- Assist the coordination and performance of administrative support for projects and events, integrating them with ongoing work routines

- Schedules appointments and arranges meetings as directed and prepares schedules and informs participants, confirming dates and times

- Support or organize any mass mailings including, but not limited to, newsletters and report cards

- Prepare and maintain a variety of department specific lists as required

- Prepare, review, and compile a variety of information; verify data for accuracy, completeness, and compliance with established procedures

- Support requests from students and parents aligned with school goals, student and department needs

- Support student withdrawal process (filter for issues exit codes), specific to department needs

- Assist or perform school enrollment/section enrollment audits in the Student Information System, as applicable to the department

- Manage department specific requirements to the Student Information System

- Assist with the coordination of attendance, ADA, report generation and reporting as directed, as applicable to the assigned program

- Participates and may coordinate basic registration activities, as required for the department

- May assist the Director/Principal/Site/Program Leader/Site Manager with the development of organizational budget proposals, maintaining communications on status and information

- Performs other related duties as assigned that support the overall objective of the position and the department.

All PCI employees will be required to clear the following state mandated tests as appropriate to his/her position: TB test, Department of Justice Fingerprinting.
