ABA Scheduler/Administrative Coordinator

We are a growing, mission-driven autism services organization dedicated to providing high-quality clinic-based ABA therapy for children and families. We are seeking a highly organized, proactive, and dependable Scheduler / Administrative Coordinator who understands the fast-paced nature of ABA operations and can help keep our clinics running smoothly.

Position Overview

This role is ideal for someone with experience in ABA scheduling who understands staff-to-client scheduling, authorizations, attendance management, and the moving parts of a clinic environment. Additional experience in billing, credentialing, or healthcare administration is a strong plus.

You’ll be the person who keeps the trains running on time. If chaos walks in the door, you politely hand it a clipboard and organize it.

Key ResponsibilitiesScheduling & Operations

  • Manage daily and ongoing schedules for clients, RBTs/BTs, and BCBAs
  • Coordinate clinic-based therapy schedules based on staff availability, client hours, and authorizations
  • Fill open shifts and adjust schedules for cancellations, call-offs, vacations, and changes in availability
  • Communicate schedule updates promptly with staff and families
  • Maintain accurate schedules within practice management software

Administrative Support

  • Assist with intake coordination and onboarding new clients
  • Track attendance, cancellations, and utilization of authorized hours
  • Maintain organized records and internal documents
  • Support front office operations and clinic communication

Bonus Skills (Preferred but Not Required)

  • ABA billing / claims follow-up
  • Insurance benefit verification
  • Provider credentialing / recredentialing
  • Prior authorizations

Qualifications

  • Required: Experience scheduling in an ABA clinic or behavioral health setting
  • Strong understanding of ABA staffing models (RBT/BT/BCBA schedules)
  • Excellent organizational and problem-solving skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Strong communication skills with staff and families
  • Professional, reliable, and detail-oriented
  • Proficiency with scheduling software, Excel, Google Workspace, or EMR systems

Preferred Qualifications

  • Experience with ABA software platforms such as CentralReach, Rethink, Motivity, etc.
  • Knowledge of insurance billing or credentialing workflows
  • Previous healthcare office management experience

Pay: $25.00 - $35.00 per hour

Experience:

  • Medical scheduling: 1 year (Preferred)
  • Medical billing: 1 year (Required)
