This position promotes and supports the learning experience of Marian University students by performing various educational and administrative tasks for the Upward Bound Math and Science (UBMS) program. It is primarily instrumental in the process of providing appropriate support and guidance to program participants in preparation for their enrollment in post-secondary education. This position is highly essential in addressing various needs of program participants in order to ensure their success at multiple levels.
ESSENTIAL FUNCTIONS:
Academic Support Services – 35%
1. Make arrangements to provide individualized academic support and guidance to UBMS participants through advising, mentoring, tutoring coordination in alignment with the program’s scope of services.
2. Coordinate and conduct regular individualized advising sessions—both in-school and out-of-school—tailored to students’ grade levels, to support academic achievement and college readiness (e.g., high school progression, standardized test preparation, career exploration, FAFSA completion, scholarship search assistance, college applications and enrollment).
3. Conduct comprehensive assessments of participants’ academic needs and monitor their progress, engagement, and participation in program services, ensuring alignment with program goals and objectives.
4. Collaborate with school liaisons, teachers, and other educational partners to address academic needs and facilitate access to appropriate resources and interventions.
5. Work with Summer Academy instructors to communicate students’ academic progress and support needs to ensure alignment between year-round services and summer instruction.
Student Engagement and Retention – 35%
1. Develop and implement strategies to foster consistent participation, retention, and active engagement of all UBMS participants throughout the academic year and summer.
2. Maintain regular communication with students, parents, schools, and community partners to support program delivery through both in-person and virtual meetings.
3. Monitor student achievement, attendance, and overall well-being through consistent interactions and progress tracking based on established benchmarks.
4. Conduct routine one-on-one check-ins with students during the academic year and Summer Academy to provide targeted support and guidance.
5. Assist in planning, organizing, and implementing enrichment activities and workshops designed to enhance students’ academic, social, and personal development in collaboration with other UBMS staff.
Recordkeeping and Reporting – 20%
1. Maintain accurate academic and programmatic records for all participants in accordance with federal and institutional compliance requirements, ensuring data is stored in both digital and physical formats. This is done in preparation for the program’s annual performance report (APR).
2. Compile and analyze student data to generate reports on academic progress, high school completion, and postsecondary enrollment readiness.
3. Submit Summer Academy grade reports and other required documentation to partnering school liaisons in a timely manner.
Departmental Operations Responsibilities – 5%
1. Collaborate as needed with UBMS staff to develop, revise, and maintain program materials, including digital and printed content, to support program goals and communication needs
Other Responsibilities – 5%
1. Attend approved professional development opportunities at the local, regional, and national levels and report on outcomes relevant to the UBMS program.
2. Perform other duties as assigned to support the overall success of the UBMS program.

Hourly Rate: $20.00
