Responsibilities:
- Greet and welcome residents and visitors in a professional and friendly manner
- Answer and direct phone calls, take messages and provide information as needed; good verbal and written communication skills
- Manage the front desk area, including keeping it clean and organized
- Schedule appointments and maintain calendars for staff members; prepare agendas, and copy documentation required to support agenda items
- Perform data entry tasks, including updating and maintaining databases
- Transcribe and type documents, letters, and other correspondence
- Handle incoming and outgoing mail and packages
- Provide administrative support to staff members as needed
Experience:
- High school diploma or equivalent combination, and/or Previous experience of 5 years as a receptionist or administrative assistant preferred
- Strong organizational skills with the ability to multitask and prioritize tasks effectively, able to listen follow instructions, and complete duties within deadlines
- Familiarity with office management procedures including Microsoft Office Suite. especially Word, Excel and Outlook
- Knowledge of photocopier, fax, scanning, answering equipment, e-mailing, and researching the internet
- Proficient in data entry, transcribing, typing, and using phone systems
- Some work may be required outside of the office and on property location
