McKenna Labs is a full-service contract manufacturing company that specializes in hair, skin and body care products. We've been in the personal care development and manufacturing industry since 1998.

We are seeking an Account Coordinator to support Sales and customers by handling inquiries, processing orders, tracking shipments, resolving issues, and ensuring satisfaction by coordinating with internal teams on projects, orders, contracts, and delivery timelines. The position requires strong communication, problem-solving and detail-orientation skills to manage everything from initial quote to final delivery.

Key Duties and Responsibilities

  • Request and review client required supporting documents and information for quote and project packets. Ensure documents are accurate and include all pertinent information.
  • Process purchase orders, verify details (pricing, quantities, etc.), and enter them accurately in ERP system.
  • Track/oversee progress of projects and orders. Monitor for accuracy of information and progress to ensure projects and orders remain on track and within customer expectations.
  • Provide timely updates and proactively communicate with Account Management Manager regarding task progress, critical issues, variable date changes, and delays.
  • Coordinate with internal departments (Sales, R&D, QC, Operations, etc.) to expedite orders, track shipments, and resolve discrepancies.
  • Act as a contact for customers, answering questions via phone, email, etc., about products, order status, and delivery dates.
  • Assist with troubleshooting requests from customers and internal stakeholders.
  • Identify potential roadblocks related to budgets, resources, and timelines, and work together with Director of Product Development and Project Manager for solution.
  • Provide support for multiple projects and prioritize workload in accordance with business goals.
  • Perform responsibilities and tasks with an understanding of the importance of increasing accuracy and efficiency and decreasing waste and operational costs. Identify bottlenecks and offer suggestions on how to resolve them, including stepping in to perform any task in support of company goals.
  • Maintain a positive and productive relationship with external and internal customers, co-workers, and others with whom the position may have contact.

Requirements

  • High school diploma required. Minimum 2 years of experience in a role that provided support to internal or external customers, preferably in the areas of personal care, cosmetic, food, or nutraceutical manufacturing and packaging.
  • Strong critical thinking skills with the ability to organize, handle, and prioritize multiple issues simultaneously.
  • Strong ability to understand the needs and concerns of internal and external customers and respond effectively in a professional manner.
  • Strong oral and written communication skills.
  • Ability to work independently and be comfortable making suggestions based on limited information.
  • Intermediate level proficiency in Microsoft Office.
  • Ability to work effectively in a fast-paced manufacturing environment.
  • Must be flexible to change shift and/or schedule due to changing business needs.
  • Must be able to work in person onsite.

Physical Demands and Work Environment:

While performing the duties of this job, the employee is regularly required to use hands to handle or feel. The employee is regularly required to stand, walk, sit, reach with hands and arms and occasionally smell. Specific vision abilities required by this job include close vision, and color vision.

The noise level in the work environment is generally quiet and may include shared workspace.

The salary range for this role is $18.75 - $27.88 hourly. Compensation is commensurate with level of knowledge, education, skills, and experience applicable to the position.
