Accountant Role - AZ Candidates Only (No Recruiters)
We are seeking a highly detail-oriented and experienced Law Firm Accountant to oversee daily accounting operations, trust accounting compliance, financial reporting, and month-end close for our growing personal injury law firm and affiliated entities. This role is critical to maintaining financial accuracy, regulatory compliance (including IOLTA requirements), and delivering timely financial reporting to firm leadership. Responsibilities also include budgeting, ensuring adherence to financial policies, and assisting with audits. The ideal candidate will have strong QuickBooks experience, legal trust accounting knowledge, and the ability to work independently while collaborating with leadership and administrative staff. This role is a 100% in-office position.
Key Responsibilities:
Trust & Compliance:
- Manage and perform three-way reconciliations for IOLTA accounts in strict accordance with State Bar standards.
Operating Account Responsibilities:
- Review all daily bank transactions for accuracy and validity
- Post all bank transactions into QuickBooks
- Verify proper booking of all transfers
- Review and post credit card transactions
- Review Balance Sheet for proper coding
- Review Profit & Loss statement for proper expense recording
- Research and resolve outstanding uncleared items
Trust Account Responsibilities:
- Audit all daily trust transactions for validity completed by the Accounting Administrator
- Post trust activity into QuickBooks
- Verify all transfers are properly recorded by Accounting Administrator
- Ensure IOLTA three-way reconciliation remains in balance
- Work on legacy trust accounts as time permits
Client & Settlement Accounting:
- Audit daily settlement worksheet deposits for proper coding as completed by the Accounting Administrator
- Audit daily client card expenses match bank statements and supporting worksheets
- Audit client expenses into the operating account as completed by the Accounting team.
Financial Reporting & Analysis – Monthly Close Client & Settlement Accounting:
- Complete bank reconciliations for all firm accounts
- Audit monthly credit card statements and post summaries
- Prepare monthly and YTD Profit & Loss, Balance Sheet Statements
- Profit & Loss Statement
- Provide monthly Cash Flow Reports, build out Financial models as needed
- Perform three-way trust reconciliation
- Review all Balance Sheet accounts for accuracy
- Forward required financial data to external partners as needed
- Review monthly financials with firm leadership
Leadership Reporting:
- YTD Profit & Loss (as noted above)
- Actual vs. Budget comparisons
- Contribution to overhead by attorney
- Settlement dollars (pre-litigation vs. litigation)
- Monthly fee income comparisons (multi-year trend analysis)
- Break-even projections
- Monthly financial summaries
- Distribution tracking (monthly and YTD)
- Fees collected by attorney
Qualifications:
- IOLTA Expert: Proven experience in legal trust accounting is required.
- 5-10 years of accounting experience (law firm experience strongly preferred)
- Proficiency in QuickBooks Online accounting software, financial reporting, and budget preparation
- Strong understanding of legal trust accounting and compliance with ethical standards
- Experience with accounts payable, accounts receivable, and payroll processing
- Strong organizational, analytical, and problem-solving skills
- Detail-oriented and capable of meeting deadlines with accuracy
- Excellent communication and interpersonal skills
Education:
- Bachelor’s degree in Accounting, Finance, or related field
- Professional certification (e.g., CPA or equivalent) is a plus
- Experience in a law firm or legal environment is highly preferred
