Job Title: Accountant & Inventory Controller
Department: Accounts & Finance
Location: UAE
Reports To: Finance Manager / Director/ Managing Director
Job Purpose
To manage day-to-day accounting operations, ensure accurate financial records, maintain compliance with UAE VAT regulations, and oversee inventory control to ensure accurate stock valuation and coordination between accounts, warehouse, procurement, and sales teams.
Key Responsibilities
1. Accounting & Bookkeeping
- Maintain proper books of accounts in accounting software ODOO. PROFICIENCY IN ODOO IS MUST.
- Record sales, purchases, expenses, journal, and bank entries.
- Maintain General Ledger and Trial Balance.
- Perform monthly closing and reconciliation.
2. Accounts Receivable (AR)
- Monitor customer outstanding balances.
- Prepare and send Statements of Account (SOA).
- Coordinate with sales team for collection follow-ups.
- Maintain customer reconciliation records.
- Report overdue accounts to management.
3. Accounts Payable (AP)
- Verify supplier invoices against LPO/PO and delivery notes.
- Process supplier payments as per credit terms.
- Maintain supplier reconciliations.
- Track advances and credit limits.
4. Banking & Cash Management
- Perform monthly bank reconciliation.
- Monitor daily cash flow.
- Maintain petty cash control.
- Coordinate with banks for transfers and related matters.
5. Inventory Control & Stock Management
- Maintain accurate stock records in ERP/accounting system.
- Ensure proper recording of:
- Goods Received Notes (GRN)
- Delivery Notes (DN)
- Material Transfers (branch to branch)
- Project material consumption
- Conduct periodic physical stock verification (monthly/quarterly).
- Reconcile physical stock with system stock and investigate discrepancies.
- Monitor slow-moving, non-moving, and obsolete stock.
- Coordinate with warehouse for stock adjustments.
- Ensure correct stock valuation (FIFO / Weighted Average as per company policy).
- Maintain inventory ageing reports.
- Support management with stock movement analysis.
- Assist in bi-annual stock audit.
- Control negative stock situations in system.
- Track project-wise material usage and costing.
6. VAT & Compliance (UAE)
- Prepare and file VAT returns.
- Maintain proper VAT documentation.
- Ensure compliance with UAE FTA regulations.
- Assist during VAT audits.
7. Payroll & Employee Payments
- Process monthly payroll (WPS compliance).
- Maintain leave salary and gratuity calculations.
- Process expense reimbursements.
8. Financial Reporting
- Prepare:
- Profit & Loss Statement
- Balance Sheet
- Cash Flow Report
- AR/AP Ageing Reports
- Inventory Ageing Report
- Assist in budgeting and forecasting.
9. Audit & Documentation
- Maintain proper documentation (physical & digital).
- Assist external auditors.
- Ensure proper filing for inventory and financial records.
Additional Responsibilities
- Project cost tracking.
- MIS reporting.
- Credit control management.
- ERP implementation support.
- Coordination between warehouse, sales, and procurement.
KPIs (Performance Indicators)
- Accuracy of books of accounts.
- Accuracy of inventory records.
- Timely month-end closing.
- AR collection efficiency.
- Stock discrepancy percentage.
- VAT filing accuracy.
- Audit observations.
- Slow Moving Products.
- Inventory Control.
- Recommend reorder levels for inventory items fortnightly.1. Educational Qualification
- Bachelor’s degree in accounting / finance / commerce (B.Com / M.Com)
2. Experience Requirements
- 3–5 years of experience in accounting & inventory control
- Experience in:
- Trading / Manufacturing / Distribution companies
- UAE market experience preferred
- Strong exposure to:
- Inventory-heavy businesses
- Multi-warehouse operations
- Project-based costing (advantage)
3. Technical Skills
- Proficiency in:
- ERP systems – ODOO. Proficiency.
- MS Excel (Advanced level – Pivot tables, VLOOKUP/XLOOKUP, reports)
- Professional certifications preferred:
- CA / ACCA / CMA (Fully or Part Qualified)
- UAE VAT certification is an advantage
