We are seeking a highly organized, detail-oriented, and trustworthy professional to serve in a dual-capacity role as Accountant / Trustee for a Real Estate Investment Trust (REIT). This individual will be responsible for maintaining accurate financial records, supporting regulatory and tax compliance, monitoring trust and entity-level obligations, and helping ensure that the REIT operates in accordance with governing documents, fiduciary standards, and applicable laws.
The ideal candidate will have a strong accounting background, experience with real estate entities or investment vehicles, and a clear understanding of fiduciary duties, governance, and trust administration. This role requires discretion, accuracy, sound judgment, and the ability to work closely with ownership, legal counsel, tax advisors, and third-party administrators.
Key ResponsibilitiesAccounting Responsibilities
- Maintain the general ledger and oversee day-to-day accounting operations for the REIT and related entities
- Prepare monthly, quarterly, and annual financial statements
- Reconcile bank accounts, balance sheets, intercompany accounts, and investment activity
- Track rental income, distributions, property-level expenses, reserves, debt service, and capital expenditures
- Coordinate accounts payable, accounts receivable, and cash management functions
- Assist with budgeting, forecasting, and variance analysis across the REIT portfolio
- Support annual audits, reviews, and financial reporting requirements
- Coordinate with external CPAs on tax filings, including REIT-specific compliance matters
- Monitor distribution calculations and assist in verifying compliance with REIT income and distribution requirements
- Maintain accurate records for investors, ownership interests, trusts, and related entities
- Assist with entity structuring records, capital contributions, and distribution schedules
Trustee / Fiduciary Responsibilities
- Serve as trustee or trust administrator, where applicable, in accordance with trust agreements and governing documents
- Carry out fiduciary duties with loyalty, care, impartiality, and good faith
- Maintain complete and accurate trust records, resolutions, and documentation
- Ensure the trust and REIT entities are administered in compliance with governing instruments and applicable state and federal law
- Review trust agreements, operating documents, and organizational records to ensure adherence to trustee obligations
- Coordinate trustee actions with legal counsel, tax professionals, and executive leadership
- Assist with maintaining corporate formalities, meeting records, and compliance calendars
- Oversee document retention, trust account administration, and recordkeeping for trust-held assets or interests
- Help facilitate distributions, approvals, signatures, and trustee consents where required
- Monitor deadlines, reporting obligations, and compliance requirements tied to fiduciary administration
Compliance and Governance
- Assist with compliance related to REIT qualification, entity governance, and regulatory filings
- Support preparation of internal reports for executives, trustees, and stakeholders
- Maintain confidentiality of financial records, ownership information, trust matters, and investor data
- Coordinate with attorneys and compliance professionals on legal, tax, and governance matters
- Help establish and maintain internal controls, approval workflows, and documentation standards
- Ensure proper handling of sensitive trust, entity, and investor information
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field
- CPA, CMA, or trust-related certification preferred but not required
- 5+ years of accounting, trust administration, or real estate finance experience preferred
- Experience with real estate entities, investment vehicles, partnerships, LLCs, or REIT structures strongly preferred
- Understanding of fiduciary responsibilities, trust administration, and corporate governance principles
- Familiarity with financial reporting, audits, tax coordination, and entity-level compliance
- Strong knowledge of Microsoft Excel and accounting systems
- Ability to handle confidential information with discretion and professionalism
- Excellent organizational skills with strong attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple deadlines and work independently
Preferred Experience
- Experience working with commercial real estate portfolios or private investment vehicles
- Familiarity with REIT compliance concepts, including income tests, asset tests, and distribution requirements
- Prior experience supporting trustees, managing trust records, or administering family office / investment trust structures
- Experience coordinating with outside legal counsel, tax advisors, and auditors
- Knowledge of entity structures involving LLCs, trusts, and holding companies
