Accounting & Administrative Coordinator

Delval Equipment is seeking a highly organized, detail-oriented Accounting & Administrative Coordinator to support our headquarters team. This role is a key cross-functional position that blends traditional administrative responsibilities with operational and accounting support.

Position Overview

This role supports daily office operations while assisting with financial data entry, customer payment processing, expense tracking, and internal processes within NetSuite. The position works closely with the Accounting Department and may also provide administrative and operational support to Sales, Service, and leadership as business needs evolve.

The ideal candidate is proactive, dependable, organized, and comfortable balancing routine administrative responsibilities with project-based support across departments.

Core Responsibilities:

Office Administration

  • Answer and route incoming calls through automated attendant
  • Greet and manage visitors in accordance with company security procedures
  • Manage office supplies, equipment, and vendor relationships (copiers, postage, etc.)
  • Open, sort, and distribute incoming mail
  • Coordinate conference room scheduling and internal meetings
  • Assist with company events, seminars, and meetings (including occasional off-site support)
  • Support travel arrangements for team members as needed

Accounting & Operational Support

  • Provide secondary support to accounts payable, accounts receivable, and billing functions as directed by the Accounting Department
  • Record and apply incoming customer payments, including checks and electronic payments
  • Process and document customer credit card payments
  • Assist with invoicing distribution, including physical mailing and electronic delivery
  • Support internal service team credit card expense tracking, including collection and organization of receipts and documentation as needed
  • Support administrative and data entry tasks related to sales orders, parts setup, and job creation as needed

Sales & Service Department Administrative Support

  • Provide administrative and operational support to the Sales and Service departments as assigned, in coordination with existing department processes and personnel
  • Support sales planning activities, customer communication lists, e-blast coordination, announcements, and related documentation
  • Assist with preparation, organization, and follow-up for customer events, seminars, trainings, sales meetings, and service-related meetings
  • Support department administrative tasks such as training enrollments, tracking, document organization, and internal coordination as needed

Executive Support

  • Support executive leadership with company communications, travel coordination, calendar management, and expense tracking to ensure efficient day-to-day operation

Qualifications

  • Minimum 2 years of administrative, accounting support, or similar experience
  • High level of proficiency in Microsoft Office, particularly Outlook, Excel, and Word
  • Strong ability to organize, analyze, and summarize data in a clear and consistent format
  • Exceptional attention to detail and accuracy
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Ability to work independently while recognizing when to ask questions or seek guidance
  • Strong communication skills across all levels of the organization
  • Experience with ERP systems (NetSuite preferred, not required)

Job Type: Full-time

Pay: $45,000.00 - $60,000.00 per year
