Position Overview
Coast to Coast Contents Cleaning and Packouts is seeking a detail-oriented and organized Accounting & Administrative Specialist to support the financial and administrative operations of our growing restoration company.
This role is responsible for assisting with accounting functions such as accounts payable, accounts receivable support, invoicing, job file documentation, and general office administration. The ideal candidate is organized, reliable, and comfortable working in a fast-paced office environment supporting both the accounting and operations teams.
This position plays an important role in ensuring accurate financial records, timely billing, and efficient office operations.
Key ResponsibilitiesAccounting Support
- Process and record accounts payable (vendor invoices, receipts, and expenses)
- Assist with accounts receivable tracking and collections support
- Generate and send customer invoices and job billing
- Assist with insurance estimate documentation and billing packages
- Reconcile invoices, payments, and job files
- Maintain organized financial and job documentation
- Assist with QuickBooks data entry and financial record keeping
- Support month-end accounting processes
Administrative Support
- Maintain organized digital and physical job files
- Assist with preparing documents such as:
- Work authorizations
- Direction to Pay forms
- Insurance billing documents
- Customer invoices
- Answer phones and assist with basic customer inquiries
- Coordinate internal paperwork between office staff and field teams
- Maintain office records and filing systems
- Assist with general office organization and administrative tasks
Operations Support
- Help ensure job documentation is complete for billing
- Coordinate with the operations team and estimators to collect required paperwork
- Assist with tracking storage billing and recurring charges
- Maintain spreadsheets and reports used for job tracking and financial reporting
Qualifications
- Previous experience in accounting, bookkeeping, or office administration
- Experience with QuickBooks or similar accounting software preferred
- Strong organizational and multitasking skills
- Excellent attention to detail
- Strong written and verbal communication skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Ability to work independently and as part of a team
Pay: $18.00 - $24.00 per hour
