Accounting and HR Administrative Assistant

The Accounting and HR Administrator will perform all accounting and payroll functions for the company, and will work closely with the Administration Manager to ensure candidates are properly scheduled for interviews; coordinating New Hire Orientation classes and training; maintaining employee files; and assisting with key components of our hiring and benefits processes.

JOB RESPONSIBILITIES

  • Process weekly payroll
  • Process and file weekly, monthly, quarterly and annual payroll taxes
  • Process accounts payable
  • Complete monthly bank reconciliations
  • Prepare monthly and ad hoc financial reports as requested by the President
  • New hire orientation, distributing pre-screen paperwork, scheduling physicals, processing backgrounds and candidate communications.
  • Prepare new employee files, update and maintain employee files/records on existing and terminated employees.
  • Report new hires to state of IL
  • Track employee PTO
  • Ensure accurate employee clock out/in records
  • Determine eligibility for a performance review. Responsible for tracking performance reviews to ensure reviews are received from supervisors and managers in a timely manner.
  • Responsible for employee uniform program
  • Communicate benefit packages to eligible employees, enroll individuals in desired plans and process appropriate paperwork upon termination of coverage
  • Work with President on insurance and retirement plan questions and paperwork
  • Help update employee handbook yearly
  • Maintain confidence and protect operations by keeping information confidential.
  • Recommend measures to improve clerical and human resources systems.

QUALIFICATIONS & EXPECTATIONS

  • Strong attention to detail and strong organizational skills
  • Proficiency with MS Word and Excel
  • Willingness to accept new responsibilities and challenges while learning in the position
  • Good written and verbal communication skills
  • Knowledge of QuickBooks preferred
  • Experience in Bookkeeping and HR required
  • Will train the right individual

WORK SCHEDULE

  • This role is part-time, with an anticipated schedule of fewer than 30 hours per week. Workdays and hours are flexible, subject to mutual agreement prior to starting.

Job Type: Part-time

Pay: From $20.00 per hour
