I. Job Summary
The Accounting Assistant works closely with the Senior Accountant and provides essential support to the Finance Department of Herald Christian Health Center, a Federally Qualified Health Center (FQHC). This position assists with day-to-day accounting operations, including accounts payable, accounts receivable, grant tracking, and financial reporting, in compliance with federal regulations and organizational policies. The ideal candidate brings accuracy, discretion, and a commitment to the health center’s mission of providing high-quality care to underserved communities.
II. Essential Functions
⁃ Assist in tracking expenditures in multiple funding sources, including Section 330 grants, Medicaid/Medicare, and state/local grants.
⁃ Assist to process vendor invoices, check requests, and expense reimbursements. Verify invoices against purchase orders and obtaining appropriate approvals for Accounts Payable prior to payment.
⁃ Payments posting according to Electronic Remittance Advice, Coding of payments.
⁃ Assist with month-end close procedures and ensure timely completion of assigned tasks. Compile supporting schedules for the annual audit.
⁃ Responsible for tracking account receivables and post journal entries on all checks and ACH payments in MIP and provide to Senior Accountant to approve and post. Follow up on outstanding receivables, including third-party payer billing and cost reports.
⁃ Work closely with members of the billing department to track and update all deposits received in the bank as provided by the Director of Finance. Tracks all deposits in Revenue Tracking Report.
⁃ Assist the Finance Department in all other duties as requested.
⁃ Assist with month-end close procedures and ensure timely completion of assigned tasks. Compile supporting schedules for the annual audit.
⁃ Maintain organized and audit-ready financial records, both electronic and physical.
⁃ Ensure all financial activities comply with FQHC requirements and internal controls.
⁃ Provide backup support to other Finance Department staff as needed.
