US Solid Surfaces is a fast-growing countertop fabrication and installation company serving production builders and custom projects across Northern California. We specialize in high-quality stone fabrication with a strong focus on speed, accuracy, and execution.
We are looking for a driven Accounting Assistant who can operate in a fast-paced environment and take ownership of financial processes that directly impact company performance.
Position Overview
This is not a basic data entry role.
You will play a key role in managing invoicing, job cost analysis, and financial coordination between Sales, Operations, and Purchasing. Your ability to maintain accurate financial data and identify issues will directly impact revenue and profitability.
Key ResponsibilitiesAccounts Payable (AP)
- Process vendor invoices and match against purchase orders
- Ensure accurate entry into QuickBooks
- Reconcile discrepancies with vendors and internal teams
- Coordinate with VP of Purchasing on PO accuracy
Accounts Receivable (AR) & Invoicing
- Generate and send invoices within 7 days of job completion
- Track and follow up on outstanding invoices
- Work directly with Sales to resolve billing gaps, change orders, and missing information
- Reconcile payments with builder portals and internal systems
Job Cost Analysis
- Analyze job costs including:
- Labor (shop + install)
- Materials (slabs, vendors, freight, tax)
- 1099 installer costs
- Identify cost overruns and margin issues
- Provide feedback to Sales on pricing accuracy
- Deliver weekly cost analysis reports to leadership
Purchase Order (PO) Reconciliation
- Verify all invoices match approved purchase orders
- Work with VP of Purchasing to resolve discrepancies
- Maintain accurate PO tracking tied to each job
Systems & Reporting
- Maintain accurate data in QuickBooks
- Ensure all completed jobs are invoiced and recorded correctly
- Assist with weekly revenue tracking and reporting
Qualifications
- 2+ years of accounting, bookkeeping, or job cost experience
- Experience with QuickBooks (required)
- Construction, manufacturing, or project-based accounting experience preferred
- Strong Excel skills
- High attention to detail with the ability to spot discrepancies
- Ability to work cross-functionally with Sales, Operations, and Purchasing
