Accounting Assistant

Job Summary

We’re hiring an Accounting Assistant with a focus on AP and AR workflows, and month-end account reconciliations. This role is ideal for someone who is organized, detail-oriented, and eager to learn accounting processes. You will be responsible to keep vendor invoices, customer billing, and cash flow records accurate and up to date while working closely with the controller and internal departments.

Key Responsibilities

Accounts Payable 

• Match invoices to purchase orders and receiving; investigate and resolve variances

• Process and post incoming vendor invoices in NetSuite

• Prepare vendor checks/ACH remittances

• Other related duties as required

Billing/Accounts Receivable

• Review sales orders prior to invoicing customer, to ensure accurate job costing

• Generate and issue invoices to customers

• Process and post incoming customer payments/ACH

• Investigate variances between remittance and amount due

• Other related duties as required

Cash Flow and Reconciliations

• Maintain cash flow spreadsheet, reconciling to bank records daily

• Reconcile NetSuite Cash accounts to bank statements monthly

• Assist with monthly balance sheet account reconciliations

• Reconcile credit card statements and employee expense reports to receipts

• Other related duties as required

Education/Qualifications

• Minimum of Associate’s degree in accounting or 2 years of AP, AR, and account reconciliation experience required

• Bachelor’s degree in accounting preferred

• Experience using accounting software (NetSuite preferred, but not required)

• Working knowledge of Excel to include sorting, filters, and basic formulas, required

• Strong attention to detail and ability to stay organized with multiple priorities

• Strong communication and follow-through; professional customer/vendor interaction

• Ability to handle confidential information with integrity

• Ability to work at multiple local business locations, as needed
