Accounting Assistant

About the Role

A.S.P. Enterprises Inc., a family owned business, is one of the largest cigar wrapper grower in the world. We specialize in dark air-cured tobacco wrappers, binders, and fillers from Ecuador, Nicaragua, and other parts of Central and South America.

We are seeking a detail-oriented and organized Accounting Assistant to support our accounting team. This position will assist with accounts payable, accounts receivable, vendor payments, purchasing, record organization, and general administrative accounting tasks. The ideal candidate is reliable, proactive, comfortable working with financial systems, and able to manage multiple priorities with accuracy. Key Responsibilities

1. Accounts Receivable

  • Create and enter invoice information into the accounting system
  • Maintain organized invoice records and filing systems
  • Process incoming payments via wire transfers and checks
  • Record and apply payments accurately within the accounting system
  • Communicate professionally with clients regarding outstanding invoices and late payments

2. Accounts Payable

  • Review vendor invoices for accuracy, proper documentation, and required backup
  • Communicate with vendors regarding invoice discrepancies or required corrections
  • Process vendor payments through online bill pay systems and prepare checks when necessary
  • Prepare and submit monthly and scheduled wire payments for recurring vendors
  • Verify payment details and ensure timely processing of scheduled payments
  • Maintain organized records and file invoices, payment confirmations, and supporting documentation

3. Purchasing & Administrative Accounting Support

  • Assist with purchasing office supplies and general office needs
  • Verify items received match purchase orders and submitted requests
  • Maintain organization of office materials and supplies
  • Purchase, set up, and organize new accounting/administrative binders annually
  • Assist with coordinating daily office lunch orders
  • Ensure employee reimbursement documentation is complete, organized, and easily accessible

Qualifications

  • Previous experience in accounting, bookkeeping, accounts payable, or administrative support preferred
  • Strong attention to detail and organizational skills
  • Ability to prioritize tasks and meet deadlines
  • Professional communication skills with vendors, clients, and internal team members
  • Proficiency with Microsoft Office (specifically Excel) and accounting software
  • Ability to work independently and as part of a team

Preferred Skills

  • Experience processing invoices and payments
  • Experience with accounting systems and online payment platforms
  • Basic understanding of accounts payable and accounts receivable processes
