Job Summary:
The Accounting Assistant works closely with the Practice Staff Accountant and Chief Financial Officer to support the daily financial operations of the organization. This position is responsible for assisting with accounts receivable, accounts payable, banking activities, deposit processing, payroll support, reconciliation functions, and maintaining accurate financial records. The role requires strong attention to detail, organizational skills, confidentiality, and the ability to manage multiple priorities in a fast-paced healthcare environment.

Essential Job Duties and Responsibilities: (Additional duties may be assigned)
- Process and balance daily deposits for the Syracuse office and satellite locations
- Enter and reconcile daily deposit activity on tracking spreadsheets through completion
- Prepare and process weekly bank deposits
- Process and verify remote deposits
- Assist with Positive Pay processing and exception management with banking institutions
- Distribute petty cash to front desk staff, maintain petty cash balances, and replenish funds as needed
- Reconcile and process employee benefit invoices and payments including medical, dental, vision, LTD, life insurance, AFLAC, and related benefits
- Assist with bi-weekly payroll processing and related general ledger entries and reconciliations
- Sort and distribute incoming Finance Department mail
- Assist with accounts payable workflow management including invoice review, processing, and payment support
- Assist with refund processing and related documentation
- Maintain organized financial records and supporting documentation
- Assist with bank, credit card, and general ledger reconciliations
- Respond to daily workflow interruptions while maintaining accuracy and prioritization of responsibilities
- Maintain confidentiality of payroll, banking, employee compensation, and financial information
- Provide administrative and operational support to the Finance Department as needed
Supervisory Responsibilities:
This position does not have any supervisory responsibilities.
Education and Experience:
- Associate degree in Accounting, Business, or related field
- Prior accounting experience with strong attention to detail required
- Healthcare accounting experience is a plus
Equipment, Machines and Software Used:
Ability to operate a computer, printer, telephone, fax machine, photocopier, postage meter, and remote deposit scanner. Computer software proficiency including Microsoft Outlook, Excel, Word, QuickBooks, PODIS, and Payroll systems.
Knowledge, Skills and Abilities:
- Must be detail-oriented and well organized
- Must possess above-average Microsoft Excel skills
- Must be able to multi-task in a fast-paced environment
- Proficient user of QuickBooks
- Computer proficiency including word processing, data entry, spreadsheets, and generating reports using standard software applications
- Must maintain confidentiality
- Strong interpersonal and communication skills and the ability to work effectively with individuals at all levels of the organization
- Analytical ability to gather and summarize data, identify solutions to administrative problems, and prioritize work
- Ability to gather data, compile information, maintain accurate records, and prepare reports
- Demonstrates professional appearance, manners, and decorum
- Maintains positive relationships with physicians and staff and is consistently polite and professional
