Accounting Assistant (Waukesha, WI)

We are looking for an organized, detail oriented Accounting Assistant to join our team! The Accounting Assistant will support the accounting and sales departments with a variety of financial and administrative tasks in a fast-paced construction environment. This role assists with billing, payment processing, contract documentation, and general office support to ensure accurate financial records and operations.

This role will be onsite in our Waukesha, WI office

In this role you will…

Assist with accounts receivable functions including invoice preparation and payment processing
Create and process invoices using detailed job and contract information
Support AIA and progressive contract billing processes, including milestone billing
Review purchase orders in coordination with Project Managers and Sales Staff
Process incoming payments, including checks and electronic deposits
Apply payments to appropriate customer accounts and maintain accurate records
Perform data entry of financial transactions into our accounting system, Vision
Maintain organized filing systems for invoices, contracts, job documentation, and correspondence

You've got what it takes if you have…

Experience in an accounting or administrative support role preferably in the construction industry
Familiarity with construction billing processes including AIA forms and contract billing
Experience with Service Titan or other service-oriented ERP systems
Strong data entry skills and attention to detail
Ability to manage multiple tasks and deadlines efficiently
Proficiency with accounting software
Strong organizational and communication skills
