Scope: The Accounting Assistant/AP Specialist will provide support to the accounting department, reporting to the company Controller. The AA/AP with focus primarily on all Accounts Payable duties with some duties assisting the Controller.
Responsibilities
- Receive and distribute incoming accounts payable invoices and related documents for approval
- Prepare and process invoices in QuickBooks, accurately and timely
- Review and reconcile inventory related payables with three-way matching, PO’s, Receiving and Invoice
- Management of pending approved accounts payable
- Establish new vendors in accordance with company policies
- Identify and resolve any discrepancies between purchase orders, receiving and invoices
- Manage deposits made on required purchase orders
- Monitor pending vendor credits with purchasing, for timely receipt and accuracy
- Maintain 1099 vendor files for accuracy and up to date W9’s for tax reporting
- Prepare and process weekly vendor payment check runs and ACH payments
- Management and reconciliation of credit card accounts
- Reconcile credit card purchases
- Manage AP for recurring monthly utilities, telecommunications and other facilities related expenses
- Act as primary back-up to the Billing Specialist during absences.
- Assist Controller with accounting data entry, banking reconciles and Quickbook reports
- Ensure compliance with company policies, internal procedures and accounting standards
Requirements
- Associates in Accounting, Finance, Business Administration or related preferred
- HS Diploma and 2-3 years of proven accounts payable or accounting experience acceptable
- Understanding of general accounting principles and month-end close process
- QuickBooks experience and knowledge of AP automation and workflow systems.
- Ability to work on-site
