Accounting Associate

Position Summary

The Accounting Associate is responsible for supporting the day-to-day accounting operations of the organization. This position maintains accurate financial records, processes transactions, and assists with reporting, reconciliation, and grant financial management in accordance with generally accepted accounting principles (GAAP) and organizational policies.

Duties & Responsibilities

  • Processes accounts payable and accounts receivable transactions; reconciles AP and AR aging reports on a regular basis to ensure accuracy and timeliness.
  • Prepares and posts journal entries to the general ledger in accordance with GAAP.
  • Maintains complete and accurate financial records and supporting documentation in compliance with organizational record retention policies.
  • Supports the monthly and quarterly close processes, including preparation of schedules and supplemental materials for review by the Accounting Manager or Controller.
  • Assists with internal and external audits by preparing and organizing supporting documentation as requested.
  • Submits grant applications and reimbursement requests in accordance with funder requirements and deadlines; tracks grant expenditures and maintains related documentation.
  • Performs general administrative functions in support of the accounting department, including filing, correspondence, and records management.

Qualifications, Competencies & Strengths

Education: Associate's or Bachelor's degree in Accounting, Finance, or a related field; or an equivalent combination of education and experience.

Experience: Minimum of one (1) year of accounting or bookkeeping experience. Three (3) or more years of accounting experience in a nonprofit or educational setting, preferred.

Special Skills:

  • Working knowledge of GAAP principles
  • Proficiency in Microsoft Excel and accounting software; experience with Sage Intacct preferred.
  • Demonstrated ability to handle confidential and sensitive financial information with discretion and integrity.
  • Experience with ERP systems.
  • Familiarity with charter school or public education accounting, including fund accounting practices.
  • Experience with grant tracking and compliance reporting.
  • Strong attention to detail with a high degree of accuracy in data entry and financial recordkeeping.
  • Effective organizational skills with the ability to prioritize and manage multiple tasks and deadlines simultaneously.
  • Strong written and verbal communication skills, including the ability to clearly present financial information to non-financial staff.
  • Ability to work both independently and collaboratively within a team environment.
  • Commitment to the mission and values of the organization.

Type of fingerprint clearance: Shall be fingerprint checked pursuant to A.R.S 15-512

Physical functions: The role requires the ability to sit for extended periods, operate standard office equipment, and occasionally lift or move materials up to 25 pounds.
