Position Summary

The Accounting Clerk is an entry-level position within the Accounting Department, responsible for providing administrative and accounting support across both Accounts Receivable (AR) and Accounts Payable (AP) functions. This role also serves as a point of contact for routine accounting-related communications and daily mail processing. The position is well-suited for an individual seeking to begin a career in accounting within the property management industry, with opportunities for growth and advancement over time.

Key Responsibilities

Daily Mail & Administrative Support:

  • Process and distribute daily incoming mail, including homeowner payments, invoices, and correspondence
  • Prepare and route payments and documents to the appropriate team members or systems
  • Assist with general administrative tasks related to accounting operations
  • Review, prepare and process any Accounting department mailings (i.e. special assessment mailings, insurance assessment mailings, etc.)
  • Prepare, print and process all association budgets and coupons throughout the year
  • In-office filing office scanning and filing of several items (i.e. bank statements, grant deeds, etc.)

Accounts Receivable (AR):

  • Process homeowner payments received via multiple platforms
  • Post payments accurately to the appropriate accounts and associations, including posting collection checks and clearing collection statuses
  • Enter completed ACH forms (both new forms and addendums) to homeowners’ accounts
  • Support reconciliation of homeowner accounts and research payment discrepancies
  • Process payments daily NoDoc payments
  • Assist in the creation, review and completion of monthly homeowner statements via Optimal Outsource.

Accounts Payable (AP):

  • Assist with Strongroom invoice processing, including Incoming Invoice Review, Unassigned Invoices, Research, Bookkeeper Approval, and Invoice Rejection Review
  • Verify invoices for accuracy and proper authorization
  • Review and process A/P payment confirmation emails, especially from those payments made via automatic payment setup
  • Support vendor setup and maintenance, including W-9 entry

Communication & Customer Support:

  • Respond to incoming homeowner and vendor phone calls and emails related to billing, payments, and invoices
  • Provide courteous, professional, and timely responses to routine inquiries
  • Escalate complex issues to appropriate accounting or management staff
  • Tracking of checks/payments received from Customer Service department for items such as amenity rentals, keys, parking, etc.

General Accounting Support:

  • Maintain organized and accurate accounting records and documentation
  • Assist with reports and audits, as needed
  • Adhere to internal controls, company policies, and regulatory requirements
  • Support special projects and additional duties as assigned
  • Weekly review of open Accounting-assigned tickets via Pilera
  • Process returned mail received by the Accounting department

Qualifications

Required:

  • High school diploma or equivalent
  • Basic proficiency with Microsoft Excel and Microsoft Office
  • Strong attention to detail and organizational skills
  • Professional phone and email communication skills
  • Ability to manage multiple priorities in a deadline-driven environment

Preferred:

  • Coursework in accounting, finance, or business administration
  • Prior clerical, customer service, or office experience
  • Exposure to accounting or property management software (Vantaca, Strongroom, etc.)

Compensation & Benefits (California Pay Transparency)

The reasonably expected pay range for this position is $24-28 per hour. The actual compensation offered will be determined based on factors including, but not limited to, relevant experience, skills, education, and internal equity.

Benefits may include medical, dental, vision, paid time off, paid holidays, and retirement plan options, subject to eligibility requirements.

Growth Opportunity

This position offers opportunities for advancement within the Accounting Department. With demonstrated performance, the Accounting Clerk may progress into more advanced accounting roles, such as Accounting Specialist or Staff Accountant.
