Accounting Clerk-Part Time

Reports to: Treasurer

Description: Assists the Treasurer's team members with the timely processing of payroll and

various financial obligations and administrative tasks.

Minimum Qualifications

Preference will be given to degreed individuals and those possessing strong computer processing skills and experience with Uniform State Accounting System and Uniform State Payroll System software, and/or have experience in the field of governmental accounting or school finance.

Applicants should have strong oral and written communication skills, high moral character, and good attendance record.

Bookkeeping skills, accurate manual arithmetic calculations, advanced mathematical concepts and use of Microsoft Office and Google.

Proficiency in automated financial data processing systems.

Proficient in data entry, spelling, proofreading, and the correct use of grammar.

Multitasking ability and strong interpersonal skills.

Documented evidence of a clear criminal record (FBI and BCI).

High school diploma required.

Duties And Responsibilities

The following duties are representative of performance expectations. A reasonable accommodation may be made to enable a qualified individual with a disability to perform essential functions.

Works closely with the Payroll Administrator and assists with processing miscellaneous payroll items, such as extra pay, overtime, supplemental pay, etc.

Verifies staff time sheets, substitute employee attendance data, and uploads/enters information into the computer with a high level of accuracy.

Uses the computerized accounting system to prepare complete, accurate, and systematic financial records.

Balances all miscellaneous items between payroll system and spreadsheet timely and accurately for each payroll.

Communicates with departments and building principals and administrative assistants and/or employees for timely and accurate processing and solving any discrepancies.

Upholds board policies and follows administrative procedures.

Respects personal privacy. Maintains the confidentiality of privileged information.

Writes board meeting minutes, files signed minutes, keeps electronic signed minutes organized and up to date.

Maintains database for online fee payments, extracts payments, downloads and posts receipts.

Reconciles PlanSource billing with payroll deductions.

Oversees online ticketing system accounts, reports and posts receipts.

Responds to employee inquiries related to payroll.

Keeps the Treasurer informed about the status of current projects.

Gathers information for GAAP conversion and annual audits.

Works cooperatively with auditors.

Assists and helps maintain the district assets in the Electronic Inventory System up to date.

Maintains treasurer office files by complying with the records retention policy.

Responds to building and department inquiries.

Serves as backup for payroll and accounts payable positions.

Acts as administrative assistant for the treasurer's office.

Keeps current with advances in office technology. Updates office procedures.

Organizes and maintains a functional filing system that ensures the safe retention of office financial records. Keeps materials properly filed to maintain an orderly office.

Participates in staff meetings and professional growth activities as directed.

Performs other specific job-related duties as directed.

Working Conditions

Exposure to the following situations may range from remote to frequent based on

circumstances and factors that may not be predictable.

Potential for exposure to blood borne pathogens and communicable diseases.

Duties may require working under time constraints to meet deadlines.
