Accounting Clerk/Administrative Assistant

Job Summary
We are seeking a dynamic and detail-oriented Accounting Clerk/Administrative Assistant to join our team. This position is a Part-Time/Temporary Position with the possibility to join the team permanetly. This role offers an exciting opportunity to support our daily operations through efficient bookkeeping, administrative tasks, and exceptional customer service. The ideal candidate will be energetic, highly organized, and possess strong computer literacy skills. You will play a vital role in maintaining accurate financial records, managing office functions, and providing outstanding support to both clients and team members. Duties

  • Manage accounts payable and receivable using Datatech/Excel/Word or similar accounting software, ensuring timely processing of invoices and payments
  • Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
  • Perform data entry, maintain accurate filing systems, and update financial records with precision
  • Assist with clerical duties such as proofreading documents, preparing reports, analyzing data, and maintaining office supplies
  • Support bookkeeping activities by reconciling accounts, preparing financial reports, and ensuring data accuracy
  • Code documents according to company procedures.
  • Reconcile or note and report discrepancies found in records;
  • Organizes and maintains up to date financial records.
  • Match supporting documentation with invoices and record necessary information.
  • Organizes and maintains retention files with support documentation for the required period of time
  • Varies bank tasks, deposits, reconcilement, stop payment, and petty cash.
  • Payroll tasks, daily reports, process checks, payroll corrections, check replacements, and quarterly reports
  • Ability to analyze data using systems and software
  • Performs a variety of clerical tasks
  • Other duties as assigned.

Skills

  • Proficiency in accounting software and Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Excellent computer literacy including Google Workspace applications (Gmail, Drive, Calendar)
  • Bilingual abilities are a plus to better serve diverse clients and team members
  • Previous office experience or administrative experience preferred; dental or medical receptionist experience is a bonus
  • Exceptional customer service skills coupled with professional phone etiquette
  • Ability to perform data entry with high accuracy and speed; typing proficiency required
  • Knowledge of office management procedures including filing systems and document proofreading
  • Effective time management skills to handle multiple responsibilities efficiently
  • Personal assistant or medical receptionist experience is advantageous for supporting various administrative needs
