Accounting Clerk/Administrative Assistant

Overview
We are seeking a dynamic and detail-oriented Accounting Clerk/Administrative Assistant to join our team! Duties

  • Manage daily bookkeeping tasks using Fuel software, including data entry, invoicing, and expense tracking
  • Serve as the front desk receptionist, greeting visitors and clients with professionalism and warmth
  • Operate multi-line phone systems, handle incoming calls with excellent phone etiquette, and direct inquiries appropriately
  • Maintain organized filing systems for financial documents, client records, and administrative files
  • Support office management activities such as calendar management, appointment scheduling, and supply inventory control
  • Assist with proofreading documents, preparing reports, and ensuring accuracy in all correspondence
  • Provide exceptional customer support via phone and email, addressing inquiries promptly and courteously
  • Perform general clerical duties including copying, scanning, data entry, and document proofreading to ensure accuracy and completeness

Qualifications

  • Proven experience with office management, clerical duties, or administrative support in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with QuickBooks or other accounting software is highly preferred
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Bilingual abilities are a plus to better serve diverse clients and team members
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous
  • Demonstrated customer service skills with professional phone etiquette and positive attitude
  • Ability to handle multiple responsibilities such as data entry, filing, proofreading, and calendar management efficiently
