We are seeking a detail‐oriented, highly organized Accounting & Compliance Coordinator to support our financial operations, grant compliance, and audit readiness. This is a contractor role, not an employee position, and is ideal for an experienced nonprofit bookkeeper who can work independently while collaborating with a small, mission‐driven team.
Role Summary:
The Accounting & Compliance Coordinator ensures that Moving History’s financial records, contractor payments, and grant‐funded program documentation are accurate, compliant, and audit‐ready. The contractor manages bookkeeping, payroll, contractor documentation, and financial systems across QuickBooks Online, ADP, Connecteam, and Google Suite. The role reports to the Finance Manager and collaborates closely with the Executive Director, Administrative Coordinator, and Site Managers.

Contractor & Grant Compliance
● Review contractor hours submitted through Connecteam and verify alignment with contracts, scopes of work, and grant budgets.
● Track cumulative hours and payments against each grant or contract; flag variances proactively.
● Maintain organized, audit‐ready documentation for all grant‐funded activities.
● Collaborate with Site Managers to resolve discrepancies in hours, rates, ordeliverables.Payroll Administration (ADP)
● Prepare and process bi‐weekly payroll through ADP, including contractor payments and employee wages.
● Ensure W‐9s, 1099‐NECs, and payroll tax filings are accurate and submitted on time.
● Maintain payroll records in compliance with Maryland and federal requirements.
● Support year‐end payroll reconciliation and reporting. Bookkeeping & Financial Systems (QuickBooks Online)
● Maintain QuickBooks Online, including chart of accounts, using projects, classes, and grant/project tracking.
● Enter and reconcile all financial transactions, including contractor payments, deposits, and program expenses.
● Complete monthly bank and credit card reconciliations.
● Generate internal financial reports, including grant‐specific budget‐to‐actuals.Invoicing & Accounts Payable
● Process incoming contractor invoices and verify accuracy against Connecteam hours and contract terms.
● Maintain an organized invoice log and ensure timely payments.
● Support outgoing invoicing for fee‐for‐service programs as needed.Audit & Compliance Support
● Prepare audit schedules, documentation, and reconciliations.
● Maintain organized digital files for all financial and grant‐related documentation.
● Strengthen internal controls and ensure audit‐ready documentation throughout the year.
Qualifications:
Required
● 3–5+ years of nonprofit bookkeeping or accounting experience.
● Strong proficiency in QuickBooks Online, ADP, Google Suite, andExcel/Sheets.
● Experience with grant‐funded programs and restricted fund tracking.
● Understanding of 1099 compliance, contractor classification, and auditdocumentation.
● Exceptional attention to detail, accuracy, and organizational skills.
● Ability to manage sensitive financial information with discretion.
● Ability to work independently as a contractor, managing workload and deadlines. Preferred
● Experience with Connecteam or similar time‐tracking/scheduling platforms.
● Familiarity with Maryland nonprofit compliance requirements.
● Prior involvement in annual audits or monitoring visits.
Physical Demands:
Primary functions require sufficient physical ability and mobility to work in various performance settings; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate (up to 20 pounds) amounts of weight; to travel to other locations using reliable transportation; and to verbally communicate to exchange information.
Special Conditions of Employment:
● A background check at your own expense will be required upon hire.
● The contractor provides their own equipment and sets their own working hours, with availability for scheduled check‐ins.
● Remote work with occasional in‐person meetings as needed.
● This is not an employee position; no benefits are provided.
