Accounting & Finance Assistant

ABOUT CENTER FOR DOMESTIC PEACE: Founded in 1977, Center for Domestic Peace (C4DP) leads a comprehensive community effort to end domestic violence in Marin County through prevention, crisis response, survivor support, and systems change. C4DP provides services that promote safety, healing, and justice, including a 24-hour hotline, emergency shelter, transitional housing, legal system advocacy, therapy and support groups, community education, and programs designed to help prevent abuse and build safer communities.

POSITION OVERVIEW:

The Accounting & Finance Assistant provides core bookkeeping and finance/HR administrative support to the Finance Department, helping ensure accurate financial records, timely transaction processing, and well-organized documentation.

Reporting to the Director of Finance, this role focuses on accounts payable, accounts receivable and deposits, financial record maintenance, audit support, and administrative coordination related to finance and HR processes. This position does not include reconciliations, grants accounting, HR decision-making, financial analysis, or supervisory responsibilities.

This role is ideal for a detail‑oriented professional who enjoys structured, transactional work and supporting strong internal systems within a mission‑driven nonprofit environment.

PRIMARY JOB RESPONSIBILITIES:

These are the core functions of the job. Additional duties may be assigned as needed.

Bookkeeping & Transactional Support

  • Process accounts payable, including invoice review coding, data entry, and payment processing.
  • Ensure proper documentation and required approvals prior to payment processing.
  • Process and maintain annual purchase order forms, generate monthly PO for rental and childcare assistance if needed, and maintain records, including data entry in Salesforce.
  • Prepare and organize credit card receipts and supporting documentation; assist with account reconciliation as directed.
  • Support timely and accurate disbursement.
  • Assist with vendor correspondence and inquiries.

Accounts Receivable & Deposits

  • Process and maintain incoming cash and check receipts and prepare bank deposits. Track donation amounts, support reconciliation with GiveDirect and Zeffy, and distribute weekly development reports to the Development team.
  • Maintain organized AR and deposit records for audit and internal review.
  • Flag outstanding receivables or discrepancies to the Director of Finance.

Finance Records & Audit Support

  • Maintain organized financial records and supporting documentation.
  • Assist with preparation of material for annual audits and compliance reviews.
  • Support year-end tasks, including 1099 documentation and records organization.
  • Assist with preparation of routine internal financial reports as directed.

Finance & HR administrative Support (Departmental Support Only)

  • Provide administrative coordination and tracking support for finance and HR processes.
  • Maintain and organize finance- and personnel-related documentation as directed.
  • Track completion of required forms, trainings, or acknowledgments for recordkeeping purposes.
  • Support onboarding and offboarding documentation tracking in coordination with Finance/HR leadership.
  • Assist with preparation and organization for finance and HR related audits and reviews.

NOTE: this role provides administrative coordination and tracking support only. All HR decisions, employee relation matters, policy interpretation, benefits administration, and personnel actions remain the responsibility of Finance/HR leadership and Executive management.

Front Office Administrative Support (As needed)

  • Provide administrative and front office support as needed to ensure continuity of operations, such as: Answering or routing phones and inquiries, Greeting visitors and supporting a welcoming office environment, Assisting with mail handling, scanning, or document preparation. Providing coverage during staff absences or high-volume periods.

NOTE: Front office support is occasional and secondary to the primary finance responsibilities of this role.

General Administrative Support

  • Maintain orderly finance and administrative files.
  • Respond to routine finance-related inquiries and appropriately route complex matters.
  • Perform other related administrative duties as assigned.

Required QUALIFICATIONS:

  • Minimum of 2-3 years of bookkeeping or accounting support experience.
  • Associate’s degree in accounting or completion of college level accounting courses or other relevant experience required. Understanding of Generally Accepted Accounting Principles (GAAP).
  • Accounting majors and students pursuing degrees in accounting or finance are encouraged to apply.
  • Experience with accounts payable, accounts receivable, deposits, and financial recordkeeping.
  • Strong proficiency in Microsoft Excel and accounting software.
  • High level of accuracy, organization, discretion, and confidentiality.
  • Ability to manage multiple tasks within a part-time schedule.

Preferred:

  • Nonprofit experience.
  • Experience supporting audits or compliance documentation.
  • Experience working in human resources or trauma-informed environments.

  • Ability to respect the needs of security and confidentiality required by the agency.

PHYSICAL REQUIREMENTS

  • Ability to lift up to 30 pounds occasionally.
  • Ability to move within an office environment, climb stairs, sit for extended periods, and use a computer/keyboard for prolonged work.
  • Ability to communicate continuously by speech and hearing and to maintain required visual acuity for detailed office and computer-based work.

Pay: $34.50 - $35.81 per hour
