Overview
Coelum Construction is a rapidly expanding commercial and residential construction company in the Tampa Bay area. We are seeking a dynamic and detail-oriented Accounting Manager to analyze and manage our financial operations and processes. This job role requires an independent worker with a strong strategic thinking mind.

Responsibilities
Oversee all daily financial functions, including accounts payable and receivable, payroll, billing, and subcontractor payments, while maintaining ownership of financial reporting, job cost tracking, cash flow projections, and budget analysis. This role utilizes QuickBooks and JobTread.
- Prepare and distribute subcontractor agreements for execution
- Monitor subcontractor insurance compliance and request updated certificates at least 30 days prior to expiration
- Track, collect, and enter receipts for all purchases; follow up on any missing documentation
- Input purchase orders and change orders into the system
- Manage accounts payable, ensuring all invoices and subcontractor bills are entered, approved, and paid on time
- Handle accounts receivable, including participating in weekly meetings with project managers to assess job progress and prepare AIA payment applications
- Ensure lien releases are collected prior to issuing subcontractor payments (in-office presence required on Fridays for check distribution and document execution)
- Notarize documents (must be a notary or willing to become one)
- Categorize all credit card and bank transactions in QuickBooks on a weekly basis
- Collect and maintain subcontractor documentation (W-9s, general liability, and workers’ compensation certificates)
- Process and approve payroll
- Manage full-cycle corporate accounting, including general ledger reconciliation, journal entries, and bank reconciliations
- Reconcile bank accounts on a regular basis
- Prepare monthly and quarterly financial reports in collaboration with the COO and President
- Enter and maintain job budgets; track purchase orders against budget allocations
- Review budget vs. actual performance weekly for all active projects and flag jobs exceeding 80% of budget with remaining work
- Deliver comprehensive job cost reports at project completion, including labor, materials, subcontractor costs, profit margins, and variance analysis
- Ensure accurate and consistent cost coding between project management and accounting systems
- Maintain and update weekly revenue and profit forecasting tools
- Update projections with real-time project data, including collected revenue, incurred costs, revised timelines, and new work
- Produce monthly 30/60/90-day cash flow forecasts, identifying expected inflows, outflows, and potential shortfalls
- Proactively identify opportunities for cost savings, billing discrepancies, unused subscriptions, vendor issues, and unbilled work
- Provide basic bookkeeping support for a related company
Requirements
- Minimum of 3 years of experience in accounting, finance, or bookkeeping (construction industry experience strongly preferred)
- Proficiency in QuickBooks (required) and construction/project management software (JobTread preferred)
- Strong Excel and spreadsheet capabilities
- Self-starter with the ability to work independently
- Excellent written and verbal communication skills; this role reports directly to the COO and President
Preferred Qualifications
- Experience with construction job costing, lien releases, AIA billing, or progress billing
- Bachelor’s degree in accounting, finance, or business administration
Pay: $65,000.00 - $75,000.00 per year
