In-House Accountant / Accounting Manager
Primary Responsibilities:
- Manage and maintain all company accounting records in QuickBooks.
- Reconcile bank accounts, credit cards, financing accounts, and loans.
- Track and maintain all Notes Payable, truck loans, trailer loans, equipment loans, and other liabilities.
- Ensure all accounting data is properly synced between our TMS (LoadStop) and QuickBooks.
- Review invoices, settlements, customer payments, factoring transactions, and deposits for accuracy.
- Maintain accurate Accounts Receivable (A/R) and Accounts Payable (A/P).
- Verify loads are billed correctly and invoices are properly reconciled and marked paid.
- Prepare monthly Profit & Loss Statements, Balance Sheets, and Cash Flow reports.
- Monitor company cash flow, operating expenses, and overall profitability.
- Track revenue and profitability by truck, trailer, owner operator, customer, and business division.
- Maintain accurate records of company assets, depreciation schedules, and equipment financing.
- Review payroll entries and ensure proper accounting treatment.
- Coordinate with CPA, lenders, banks, factoring companies, and auditors.
- Identify accounting errors, missing transactions, duplicate entries, and reporting discrepancies.
- Develop and maintain accounting procedures and internal controls.
- Provide weekly and monthly financial reports to ownership.
Key Responsibilities & Goals:
- Build and maintain truck-by-truck profitability reporting.
- Track all truck, trailer, equipment, and real estate financing schedules.
- Reconcile factoring activity and ensure accurate reporting.
- Verify fuel, repairs, maintenance, tolls, driver settlements, and operating expenses are properly allocated.
- Maintain accurate records of company revenue, expenses, assets, liabilities, and cash flow.
- Ensure management has real-time visibility into company financial performance.
- Produce reliable financial statements and reports to support business decisions.
- Monitor money coming in and out of the business and identify opportunities to improve profitability.
Qualifications:
- Strong QuickBooks experience required.
- Transportation or trucking industry accounting experience preferred.
- Experience with TMS integrations and accounting system reconciliations.
- Strong understanding of financial statements, cash flow management, and loan tracking.
- Excellent reconciliation, bookkeeping, and financial analysis skills.
- Detail-oriented, organized, and able to identify and resolve accounting discrepancies.
Pay: From $25.00 per hour
