Accounting Operations Specialist

Galway Companies, Inc., a Madison, WI based real estate management and development company is growing. We are seeking an Accounting Operations Specialist who provides administrative and transactional support to the Accounting Department. This role assists with accounts payable, cash processing, document management, vendor administration, and regulatory support activities. The position emphasizes accuracy, organization, timeliness, and adherence to established accounting procedures.

You will contribute by:

  • Supporting day‑to‑day accounting operations through transactional processing and administrative assistance
  • Assisting with accounts payable functions, including invoice review, coding, submission through automated workflows, and issue resolution
  • Supporting cash receipt and deposit activities, including recording payments and banking coordination
  • Maintaining accounting records and documentation in both digital and physical filing systems to support audits, compliance, and internal reporting
  • Assisting with vendor onboarding and maintenance, including documentation collection, system setup, and payment method administration
  • Providing operational support for compliance‑related activities, including annual filings and information reporting
  • Assisting with credit card activity review and expense coding preparation
  • Supporting tenant and property‑related administrative needs, including CAM reconciliation support, billing documentation, and approved correspondence
  • Preparing and distributing required tax reporting documents, including annual 1099 filings
  • Responding to internal requests and inquiries related to accounting operations and documentation
  • Performing other accounting and administrative duties as assigned

You will bring:

  • Associate degree in Accounting, Finance, or a related field preferred
  • 2 or more years of experience in accounting support, accounts payable, or bookkeeping
  • Experience with property management or accounting systems such as Yardi and AP automation platforms (e.g., AVID) preferred
  • Strong organizational skills with the ability to manage multiple tasks and deadlines
  • High attention to detail and commitment to accuracy
  • Ability to follow established policies, procedures, and workflows

Work Environment

  • Office‑based role supporting internal accounting and operations teams
  • Frequent interaction with vendors, internal departments, and property or tenant‑related records
  • Position requires discretion, confidentiality, and consistency in process execution

Pay: $27.00 - $33.00 per hour
