Accounting & Payroll Specialist

We are seeking a productive, detail-oriented, and self-motivated individual to join our team as an Accounting Payroll Specialist. This position works closely with the Financial Administrator and is responsible for a variety of accounting, payroll, and administrative duties to support daily business operations.

The ideal candidate will possess strong organizational skills, attention to detail, the ability to manage multiple priorities, and a commitment to accuracy and confidentiality.

Responsibilities

Accounts Payable & Accounting

  • Review accounts payable documents to ensure payment requests comply with company policies and procedures and include appropriate documentation and approvals.
  • Process vendor invoices and ensure proper general ledger coding.
  • Generate vendor payments on a routine schedule and prepare supporting documentation for review.
  • Respond to vendor and internal inquiries regarding invoices and payment status.
  • Gather and maintain W-9 forms and Certificates of Insurance (COI).
  • Maintain ledgers and prepare journal entries.
  • Prepare account reconciliations for general ledger and bank accounts.
  • Prepare monthly excise tax and sales tax reporting.
  • Assist with audits and year-end reporting.

Accounts Receivable

  • Processing EFT, EDI and check payments in the accounting and banking system.
  • Prepare EFT drafting and review banking transactions.
  • Review and resolve customer invoice questions and outstanding balances.
  • Respond to external vendors and internal managers regarding all aspects of the accounts receivable process, including processing remittances
  • Review and prepare weekly aging reports with research comments
  • Maintaining outstanding chain payment spreadsheets weekly

Payroll & Benefits

  • Ensure timely and accurate processing of weekly payroll.
  • Process payroll adjustments and maintain supporting documentation.
  • Maintain employee payroll and company information with strict confidentiality.
  • Verify employee setup information and approve timecards within third-party payroll applications.
  • Maintain employee Paid Time Off accruals and balances.
  • Reconcile monthly benefit invoices to payroll deductions.
  • Prepare monthly labor hour reporting
  • Review user entitlements and auto-use deductions on a quarterly basis.

Administrative Support

  • Support the Financial Administrator, and other team members as needed.
  • Assist with monthly bank reconciliations.
  • Assist with monthly financial statement preparation.
  • Assist with audits

Qualifications

  • Associate degree in Accounting, Business, or related field preferred; Bachelors degree a plus. Relevant experience may be considered in lieu of education.
  • 4+ years of accounting, bookkeeping, payroll, or related experience preferred.
  • Good working knowledge of accounting and bookkeeping principles and procedures.
  • Strong understanding of payroll regulations, tax laws, and compliance requirements.
  • High commitment to customer service and strong interpersonal skills.
  • Excellent attention to detail and organizational abilities.
  • Ability to manage multiple tasks and shifting priorities while maintaining accuracy and effectiveness.
  • Self-starter with a positive attitude and strong work ethic.
  • Ability to handle sensitive and confidential information professionally.
  • Proficiency with Microsoft Office products, especially Excel, Word, and Outlook.
  • Experience with Paylocity and/or VIP software preferred.
  • Ability to meet deadlines in a fast-paced environment.

Offered compensation: $26/hr - $28/hr
