Accounting & Payroll Specialist (Hybrid)

Location: Snellville, Ga – Hybrid (Remote + In-Office)

Job Summary

We are seeking a versatile and detail-oriented Accounting & Payroll Specialist to manage the full spectrum of our day-to-day financial operations. In this hybrid role, you will take ownership of accounts payable, accounts receivable, collections, general bookkeeping, and payroll processing. The ideal candidate is a proactive problem-solver who can seamlessly transition between these functions, ensure accuracy and timeliness, and support our continued growth.

Key Responsibilities

Accounts Payable (AP)

- Process vendor invoices, obtain proper approvals, and enter data into the accounting system.

- Manage weekly payment runs (checks, ACH, wires), ensuring invoices are paid according to terms.

- Reconcile vendor statements, resolve discrepancies, and maintain strong vendor relationships.

- Maintain organized AP files, including W-9s and 1099 preparation.

Accounts Receivable (AR) & Collections

- Generate and send accurate customer invoices in a timely manner.

- Post cash receipts, apply payments to open invoices, and reconcile customer accounts.

- Monitor AR aging reports, proactively follow up on past-due balances via phone and email, and escalate collection issues as needed.

- Investigate and resolve billing discrepancies and short payments.

Bookkeeping

- Perform monthly bank and credit card reconciliations for multiple accounts.

- Prepare and post journal entries, maintain the general ledger, and ensure proper classification of transactions.

- Assist with month-end close activities, including accruals and reconciliations of balance sheet accounts.

- Maintain organized digital and physical financial records in compliance with company policy.

Payroll

- Process semi-monthly/monthly payroll for all employees, including salary, hourly, commissions, and bonuses.

- Ensure accurate calculation of wages, overtime, deductions, benefits, and taxes.

- Manage timekeeping system, review and approve timesheets, and resolve payroll discrepancies.

- Prepare payroll journal entries and reconcile payroll-related general ledger accounts.

- Stay current with federal, state, and local payroll tax regulations and ensure timely filings and payments.

General

- Support annual audits, workers’ compensation audits, and tax filings by providing requested documentation.

- Identify and implement process improvements to increase efficiency and accuracy.

- Collaborate with the finance team and other departments to uphold strong internal controls.

- Perform other related duties and special projects as assigned.

Qualifications & Skills

- 5+ years of hands-on experience in a combined accounting role that includes AP, AR, bookkeeping, and payroll.

- Solid understanding of GAAP and full-cycle accounting.

- Proficiency with accounting software (e.g., QuickBooks Online, NetSuite, Sage Intacct) and payroll platforms (e.g., Gusto, ADP, Paychex).

- Intermediate to advanced Microsoft Excel skills (pivot tables, VLOOKUPs, data analysis).

- Experience with collections and professional, persistent communication.

- High attention to detail, accuracy, and the ability to meet strict deadlines.

- Strong organizational and time-management skills with the ability to juggle competing priorities.

- Excellent verbal and written communication skills; comfortable interacting with vendors, customers, and employees at all levels.

- Discretion in handling confidential information.

Preferred:

- Associate’s or Bachelor’s degree in Accounting, Finance, or related field.

- Certified Bookkeeper (CB) or Fundamental Payroll Certification (FPC) a plus.

- Experience in a multi-entity or multi-state environment.

Work Arrangement

- This is a hybrid role: you will work 3 days per week in our Snellville office and the remainder remotely.

- Core working hours are 9:00 AM – 5:00 PM with flexibility as needed during payroll and month-end close.
