The Opportunity

We are seeking an experienced Accounting Systems & Automation Consultant to help us accelerate our monthly close through process improvement and technology automation. This is a hands-on engagement working directly with our Controller and CFO to assess and then modernize our accounting infrastructure and build sustainable, repeatable processes.

Scope of Work

• Phase 1: Assessment and evaluation of our Financial systems and processes, including reconciliations and integrations of Ramp, PayChex and our proprietary ERP to QuickBooks Desktop. Provide written assessment, including identifying inefficiencies and recommendations to streamline, automate and modernize our financial systems and monthly close. Suggest prioritization of recommendations based on level of effort, cost and impact.
• Phase 2: Implementation of selected recommendations. These may (or may not include):

· Reconciliation & Process Streamlining: Review current reconciliations and implement technology and automation improvements to reduce manual effort and close time.

· AI-Powered Automation: Leverage AI tools to design and build repeatable, month-to-month workflows — including AI-assisted reconciliation, prompt-based data extraction, and process automation.

· Possible QuickBooks Desktop Migration to Cloud solution: This will depend on benefits of migration. A key complexity is our proprietary ERP, which is currently integrated with QBD — the consultant will need proven experience managing this type of migration.

· Process Documentation: Document all revised and newly implemented processes to support training and long-term operational continuity.

• Phase 1A or 2A: Ramp AP Expansion: We currently use Ramp for trade payables and are planning to extend it to consignment payables. The consultant will lead or support this implementation, ensuring automation is optimized and internal controls remain strong.

Engagement Details

• Duration (approximate):
• Phase 1: 1 month
• Phase 2: 2- 6 months
• Hours: Approximately 40–80 hours per month
• Location: We realize much of the work can be done remotely, however, we will give preference and prefer periodic on-site availability at our Detroit gallery (Michigan-based consultant preferred)
• Structure: Open to an independent consultant or a reputable technology/consulting firm

Qualifications & Experience

Required:

• Minimum 10 years of experience in accounting systems and automation
• Proven experience with QuickBooks Desktop including Desktop-to-Cloud migrations
• Hands-on experience with Ramp
• Demonstrated successful use of AI tools in accounting or finance workflows
• Strong foundational knowledge of accounting principles and month-end close processes
• Excellent written and verbal communication skills
• Experience managing ERP integrations in the context of an accounting platform migration
• Michigan-based preferred (given on-site component and our local presence)
