The Accounting/Administrative Rep & Bid Coordinator is responsible for the oversight and maintenance of all aspects relating to project procurement and tracking, including but not limited to project set up, internal tracking and reporting, invoicing, receivables schedules, and closeout. This includes processing of purchase orders and other accounting transactions in a high volume, time sensitive environment. This role routinely entails customer engagements to clarify the status of projects. Other responsibilities include data entry, filing, and maintenance of customer records.
Position Functions
· Act as primary point of contact for customer solicitation requests
· Track, maintain and regularly publicize status of bid lettings
· Set up projects and submit bid offerings
· Create invoices and reconcile Bills of Lading
· Coordinate & finalize closeout documentation
· Order all necessary office supplies
· Ensure accuracy of backlog data reporting
· Transition project schedule & needs to shop/production
Working Conditions
The successful incumbent will be working 40+ hours per week in an office setting. On-going use of computer is required.

Preferred Qualifications
· Bookkeeping or equivalent work experience. College degree a plus.
· 2 years’ experience in a similar role.
· Knowledge of bid and solicitation processes.
· Experience using project and/or accounting software.
· Demonstrated ability to accurately calculate, post, correct, and manage transaction records.
· Able to work under pressure and tight deadlines.
· Experience in gathering data, compiling information accurately and preparing supporting financial reports.
· High level of proficiency with Microsoft Office productivity suite, specifically Excel.

Pay: $50,000.00 - $60,000.00 per year
