Position Overview:

The Accounting & Administrative Specialist is responsible for supporting the day-to-day accounting, payroll coordination, and office administration functions of the business. This role coordinates accounts payable and receivable activities, assists with payroll preparation and bookkeeping, maintains business records and vendor information, and supports key administrative functions such as supplies ordering, vehicle registrations, insurance renewals, and office organization. The Accounting & Administrative Specialist plays an important role in keeping back-office operations accurate, organized, and running efficiently while supporting leadership and ensuring a high level of detail and follow-through across administrative and financial processes.


Key Responsibilities

  • Coordinate accounts payable and accounts receivable activities, including invoice processing, customer billing, payment tracking, and vendor communication
  • Support payroll preparation by reviewing hours, identifying discrepancies, verifying deductions, and preparing payroll information for final review and submission
  • Maintain bookkeeping records, reconcile transactions, and support month-end close activities
  • Coordinate office administration needs, including supplies ordering, apparel ordering, phone management, mail, and general administrative support
  • Track and coordinate vehicle registrations, insurance renewals, and related business documentation
  • Maintain vendor records, business contacts, account information, and key administrative files
  • Troubleshoot basic IQ discrepancies and assist with timekeeping, coding, and reporting issues
  • Support the accuracy and organization of employee expense reimbursements, per diems, hotel tracking, and related administrative items
  • Assist with gathering information and documentation needed for audits, reporting, and financial review
  • Maintain confidentiality and ensure sensitive business and employee information is handled appropriately
  • Provide administrative support to leadership and help ensure back-office functions operate efficiently and accurately
  • Identify opportunities to improve organization, tracking, and administrative consistency across business support functions

What You Bring

  • Associate’s degree in Accounting, Business Administration, Finance, or a related field preferred
  • 3–5 years of experience in bookkeeping, AP/AR, payroll coordination, office administration, or a related role
  • Experience in construction, logistics, warehousing, field services, or another operational industry preferred
  • Strong knowledge of bookkeeping principles, reconciliations, invoice processing, payroll support, and general office administration
  • Proficiency in Microsoft Office, especially Excel, Word, and Outlook; experience using QuickBooks strongly preferred
  • Strong organizational skills with the ability to manage multiple deadlines, details, and priorities simultaneously
  • High level of accuracy, attention to detail, confidentiality, and follow-through
  • Strong written and verbal communication skills with the ability to collaborate across departments and support a variety of personalities
  • Dependable, team-oriented, and able to work independently in a fast-paced environment
