Job Description – Accounts Executive (Freight Forwarding Industry)

Location: Marol, Andheri East, Mumbai
Experience: 2–5 Years
Department: Finance & Accounts
Employment Type: Full‑Time

About the Role

We are looking for a detail‑oriented and motivated Accounts Executive with 2–5 years of experience in the freight forwarding / logistics industry. The ideal candidate must have hands‑on knowledge of accounting processes specific to logistics operations, strong coordination skills, and the ability to manage billing, vendor payments, reconciliations, and month‑end reporting with accuracy and timeliness.

Key Responsibilities

1. Billing & Invoicing

  • Prepare and issue customer invoices based on job files, contracts, and agreed tariff sheets.
  • Verify cost sheets and ensure accuracy of chargeable items.
  • Follow up with operations teams for pending documents and job closure.

2. Accounts Receivable (AR)

  • Track outstanding customer payments and ensure timely collection.
  • Send reminders, coordinate with customers, and update the AR tracker.
  • Resolve billing disputes in coordination with Sales/Operations.

3. Accounts Payable (AP)

  • Process vendor invoices (CHA, transporters, carriers, shipping lines, CFS, etc.).
  • Verify supporting documents and job-wise cost allocations.
  • Prepare payment proposals and schedule vendor payments as per due dates.

4. Bank Reconciliation & Ledger Management

  • Daily posting of accounting entries (JV, receipts, payments).
  • Reconcile bank statements, vendor ledgers, and customer ledgers.
  • Match credit notes/debit notes with respective accounts.

5. GST & Compliance (Preferred Skill)

  • Ensure GST rates are accurately applied on invoices.
  • Assist in GST input reconciliation and data preparation for monthly returns.
  • Maintain proper documentation for audits and compliance checks.

6. Month-End Closing Support

  • Coordinate with finance team for accrual entries, job costing, and provisional expenses.
  • Maintain MIS reports related to revenue, cost, and outstanding payments.

7. Cross-Functional Coordination

  • Work closely with operations, sales, documentation, and management teams.
  • Ensure smooth closure of job files as per company accounting policy.

Required Skills & Qualifications

  • Bachelor’s Degree in Commerce / Finance / Accounting.
  • 2–5 years of hands-on experience in accounting within a freight forwarding or logistics company (mandatory).
  • Strong understanding of:
  • Freight invoices
  • Job costing
  • CHA / Shipping Line billing
  • Logistics-related statutory compliance
  • Proficiency in Tally / ERP systems; MS Excel (Pivot, VLOOKUP) preferred.
  • Strong analytical skills, accuracy, and attention to detail.
  • Good communication skills and ability to work with cross-functional teams.
