Accounts & Bidding Executive (with Invoicing Expertise)

Role Overview

The Accounts & Bidding Executive will be responsible for preparing commercial bids, managing financial documentation, generating invoices, and supporting the finance team with day-to-day accounting tasks. This role requires strong numerical skills, accuracy, and the ability to work with multiple tenders, quotations, and client financial reports.

Key Responsibilities

1. Bidding & Tender Management

Prepare financial proposals, BOQs, and commercial sections of bids/tenders.

Coordinate with procurement, marketing, and project teams for costing inputs.

Ensure all bid submissions meet client requirements and deadlines.

Maintain a tender tracker (submitted, won, lost, pending).

Assist in preparing pre-qualification documents and RFP responses.

2. Invoicing & Accounts

Prepare customer invoices (advance, partial, and final).

Maintain invoice logs and follow up on receivables.

Reconcile payments, deposits, and outstanding balances.

Assist in monthly closing, petty cash management, vouchers, and ledger updates.

Work closely with finance for taxation, WHT, and sales tax compliance.

3. Documentation & Reporting

Maintain records of POs, contracts, agreements, and tender documents.

Prepare weekly reporting for management (cashflow, receivables, bid status).

Ensure proper filing and documentation for audits.

4. Coordination & Support

Liaise with clients for invoice clarifications and payment follow-up.

Support internal departments during project costing.

Maintain professional communication with vendors and partners.

Required Skills & Expertise

Strong understanding of invoicing, taxation, and accounting principles.

Experience with bidding/tenders, BOQs, and commercial proposals.

Proficiency in Excel, Google Sheets, and accounting software.

Strong attention to detail and numerical accuracy.

Good communication and documentation skills.

Ability to manage multiple assignments and deadlines.

Qualifications

Bachelor’s degree in Accounts, Finance, Business, or Commerce.

1–3 years of experience in accounts, bidding, or finance roles.

Knowledge of sales tax, WHT, GST, and invoicing structure (preferred).

Experience in agency/marketing/activation firm will be an advantage.

Preferred Experience

Working with corporate clients (TELENOR, TOTAL PARCO, StormFiber, banks, FMCGs).

Understanding of vendor management and service agreements.

Ability to prepare commercial costing sheets for pitches and bids.
