We are looking for a responsible and detail-oriented Accounts, Inventory & Business Reporting Executive who can manage accounting records, inventory controls, courier reconciliations, stock planning, and financial reporting for a supplement distribution and e-commerce business.
We are not looking for someone who only performs basic data entry. The ideal candidate should be able to help build a proper accounting and reporting framework, guide management on what needs to be tracked, and provide clear financial visibility into the business.
Key Responsibilities
- Maintain accurate ledgers, supplier accounts, customer/client accounts, and daily accounting records.
- Manage inventory records, stock movement, opening stock, closing stock, damaged stock, and missing stock.
- Monitor stock levels and suggest timely reordering based on sales trends, stock movement, expiry, and expected demand.
- Assist in preparing purchase orders and stock planning to avoid overstocking or shortages.
- Reconcile courier payments, COD collections, undelivered orders, returns, damaged parcels, and refund claims.
- Prepare monthly profit and loss statements and basic management reports.
- Assist in preparing balance sheet, cash flow, product-wise profitability, and inventory valuation reports.
- Track business expenses, margins, receivables, payables, and cash position.
- Maintain proper documentation of invoices, supplier bills, courier statements, expenses, and stock records.
- Identify gaps in current accounting/reporting processes and suggest improvements.
- Handle any ad hoc finance, accounting, inventory, or operations-related tasks.
Requirements
- Prior experience in accounting, bookkeeping, inventory management, supply chain operations, or a similar role.
- Strong understanding of ledgers, reconciliations, stock records, P&L, cash flow, and basic financial reporting.
- Experience with inventory-based, trading, distribution, retail, e-commerce, FMCG, pharmacy, or supplement businesses will be preferred.
- Strong command of Microsoft Excel, including reconciliations, formulas, stock sheets, and reporting formats.
- Ability to analyze stock movement, product margins, and reorder requirements.
- Understanding of courier/COD reconciliation, returns, damaged parcels, and claim tracking will be a strong advantage.
- Experience with accounting software such as QuickBooks, Zoho, Xero, Odoo, or similar will be preferred.
- Honest, responsible, organized, proactive, and highly accurate with numbers.
- Ability to work independently and guide management on financial and inventory controls where needed.
